# Find stalled AccuLynx jobs in Prospect or Completed

> A weekly list of AccuLynx jobs stuck in Prospect with their estimate totals, plus Completed roofs that still owe money, oldest first.

Monday's sales meeting needs the Prospect jobs that went quiet after the estimate went out, and the office manager needs the roofs that are finished but not fully billed. In AccuLynx both answers mean opening job files one at a time.

Cotlet does it in your own AccuLynx account with list\_jobs, get\_job, list\_estimates and list\_job\_messages, called by your AI agent, an n8n workflow or a script.

## Can AccuLynx do this on its own?

AccuLynx's API can list jobs by milestone, sorted by milestone date, and read estimates, but only with the AppConnections add-on (checked 12 Oct 2026). In the app, Automation Manager triggers on job events, milestone changes and order events; AccuLynx's own automation articles describe no trigger for time spent in a milestone, so no rule flags a quiet Prospect job by itself. Zapier has a trigger that lists jobs by milestone and no estimate action.

By hand

## How you do it in AccuLynx today

1. Open the Jobs/Leads list page in AccuLynx and filter to the Prospect milestone; with Lead Intelligence, sort by Lead Rank to see which homeowners are most likely to buy.
2. Open the AccuLynx Job Progress tracking page to see each job's ID, name, balance due, age and assigned sales rep at a glance.
3. Choose Progress from the Job Menu; the Quick Progress Filters drop-down shows each Milestone and Status, including when the job was entered.
4. Open the Financial Worksheet and its Invoices tab to read the amount left to invoice on a finished job.
5. Every check is one more job file, so the weekly review becomes a row of browser tabs, and a finished roof with a balance waits until someone happens to open it.

With an agent

## How to find stalled AccuLynx jobs in Prospect or Completed

Prompt

```
Every Monday, list Prospect jobs that have sat there more than 21 days with their estimate totals and the last job message, plus Completed jobs older than 7 days that still have money owed.
```

1. 01
### Read both milestones to the end
Your agent calls list\_jobs once for Prospect and once for Completed, sorted by milestone\_date, and follows next\_cursor until the last page. Only jobs that reached the milestone before your cutoff stay on the list.
2. 02
### Check the job is really quiet
For each old Prospect job, list\_job\_messages shows the newest message. A rep or office message from the last 7 days moves the job to an active group, so the meeting spends its time on jobs nobody is touching.
3. 03
### Put a number on each one
list\_estimates adds the newest estimate name and total, and get\_job adds the sales owner. A Prospect job with no estimate at all is listed on its own, because the gap there is a missed inspection or measurement, not a follow-up call.
4. 04
### Catch finished roofs that still owe
For Completed jobs, get\_job compares the contract total with what was received. A balance goes on the billing list with the amount. A job paid in full is listed as ready for someone to move on, since this run changes nothing.
5. 05
### Group it for the people who act
Prospect jobs are grouped by sales owner and Completed jobs by amount owed, oldest first. Moving a job to another milestone stays a separate step that you approve.

### What you get back

Example data

```
Prospect over 21 days: 7 jobs, $96,420 in estimates
Dana Whitfield: Miller, 48 Pine Ridge Rd, 40 days, $14,850, last message Sep 4
Dana Whitfield: Ortiz, 9 Quail Run, 27 days, no estimate yet
Kevin Shaw: 5 jobs, oldest Hart, 1102 Main St, 34 days, $11,200
Active, left out: 3 Prospect jobs with a message this week
Completed over 7 days with a balance: Garcia, 310 Elm Ct, completed Oct 5, $7,425 owed
Completed and paid in full: Nguyen, 77 Ridge Ave, ready to move on
```

### Other ways to ask

- Show jobs still in the Lead milestone more than 3 days after they were created, newest first.
- Every Monday at 7, send me Approved jobs that have sat more than 30 days without reaching Completed.
- List Completed jobs from September that still owe money, with the contract total and what was received.
- Which of Kevin's Prospect jobs have had no job message for two weeks?

Before you automate it

## What AccuLynx allows, and what to know first

- AccuLynx Lead Intelligence shows a Lead Rank on Lead and Prospect records, predicted from third-party demographic, financial and property data, at no additional cost.
- The AccuLynx Progress view tracks the completion of each Milestone, Status and Checklist Item, and shows who completed each item and when.
- AccuLynx Workflow Manager lets a company add Statuses with their own checklist items under each milestone, so a job can stay in Prospect for weeks while its status still moves.
- An AccuLynx invoice sequence splits the approved job value into equal invoices, so a Completed job can be partly invoiced and still carry an amount left to invoice.
- The AccuLynx Financial Worksheet tracks accounts receivable aging, and the aging stops only when an invoice is marked paid.

Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.
