# Auto-approve Bizneo absence requests

> Approve Bizneo vacation requests by your own rule on balance and team cover, reject the ones over balance, keep edge cases for yourself.

Source: https://cotlet.dev/integrations/bizneo-api-mcp-server/auto-approve-absence-requests

Vacation requests wait in your approval queue, and for each one you check the remaining balance and who else is off before you click approve.

Cotlet does it in your own Bizneo account with list\_absence\_requests, get\_absence\_balance, list\_team\_absences, approve\_absence\_request and reject\_absence\_request, called by your AI agent, an n8n workflow or a script.

## Can Bizneo do this on its own?

Bizneo approves absences automatically or manually by absence type, with multi-level approval workflows (checked 22 Oct 2026). Its HCM API v1 lists and requests absences, but has no endpoint to approve or reject one. Bizneo's help describes no rule that reads the employee's balance and who else is off, in your own words.

## How you do it in Bizneo today

1. An employee opens My Calendar, clicks +Request absence, picks the absence type and the dates and can write a comment the manager will see.
2. Until the manager decides, Bizneo draws the request on the calendar with diagonal lines, and it turns fully colored once it is approved.
3. The manager opens each pending request, reads the comment and checks colleagues' absences, in Absences > My Team when the company turned that section on.
4. Bizneo can run approval chains that depend on the absence type and lets a company assign substitute approvers, so who decides varies by type.
5. A manager who denies a request can add a comment for the employee.
6. Every request needs its own look at balance and overlap, and a request sent on Friday afternoon waits until Monday.

## How to auto-approve Bizneo absence requests

Prompt

```
Go through pending absence requests in Bizneo. Approve vacation of up to 5 days when the balance is enough and at most one teammate is off. Reject requests over the balance with a comment, and leave the rest for me with a one-line reason.
```

1. 01
### Read the whole queue
Your agent calls list\_absence\_requests with state pending and follows next\_cursor until it comes back empty, so a weekend backlog is judged as one batch. Each request arrives with the employee, absence type, dates and the comment they wrote.
2. 02
### Check the balance
For every request, get\_absence\_balance reads what the employee still has for that absence type. A request longer than the available balance goes to the reject pile, because Bizneo shows the employee the balance that would remain before they send it.
3. 03
### Check the cover
list\_team\_absences runs for the requested dates, and the agent counts how many other people are off on each day. If your company has no My Team section, the call fails with a message saying so, and the agent leaves every request pending instead of guessing.
4. 04
### Decide, then act
Requests that pass both checks go to approve\_absence\_request, with a short comment if you asked for one. Requests over the balance go to reject\_absence\_request with the number in the comment. Anything with a long comment or two teammates off stays pending with a reason.
5. 05
### Skip what changed
Right before acting, the agent reads the request again. If another approver decided it in the meantime, or the employee changed the dates, it logs the request as handled and leaves it alone.

### What you get back

Example data

```
Pending absence requests: 9
Approved 6, e.g. Marta Ruiz, Vacation Nov 9 to 13 (5 days, balance after: 9)
Rejected 1: Nora Keller, 10 days asked, 6 available
Left for you 2:
- Diego Ramos: two teammates off on Oct 30
- Sara Molina: comment says "will explain by phone"
```

### Other ways to ask

- Every morning at 8, approve sick leave notes under 2 days and list everything longer for me.
- Approve requests only from my own team, and show the rest without touching them.
- List pending requests that would leave fewer than 3 people in the office, but do not approve anyone.
- Reject nothing: approve what fits my rule and send me the others with the balance next to each.

## What Bizneo allows, and what to know first

- Bizneo lets a company set approval chains per absence type and assign substitute approvers, so the account behind this job must be one that Bizneo lets decide that request.
- Bizneo shows a waiting request with diagonal lines on the calendar and fully colored once the manager approves it.
- Bizneo shows the employee the balance that will remain and other absences and shifts on the same dates before they send the request, as information only.
- When an employee changes a request, Bizneo notifies the manager to approve it again, and once the absence starts only a manager or admin can edit it.
- Bizneo lets a manager add a comment when denying a request, and a company can require a reason for some absence types.

approve\_absence\_request and reject\_absence\_request ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"comment":"Covered by Pablo. Enjoy."}'
```
Example response
```

## Frequently asked questions

### Can my agent approve requests for people outside my team?

Only if Bizneo lets your account decide them. The agent works as you, so the approval chain of each absence type still applies, and a request your account may not decide is left pending.

### Is it safe to connect Bizneo to Cotlet?

Yes. You sign in to Bizneo yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Bizneo once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
