# Log Bloomerang checks and cash gifts with AI

> Record checks and cash gifts already received in Bloomerang under the right fund, campaign and appeal. No payment is processed, no email sent.

Source: https://cotlet.dev/integrations/bloomerang-api-mcp-server/log-checks-and-cash-gifts

Checks and cash arrive by mail and at events, and someone types each one into Bloomerang by hand: find the donor, open New, choose Donation, fill in six fields, save.

Cotlet does it in your own Bloomerang account with search\_constituents, list\_giving\_options and record\_donation, called by your AI agent, an n8n workflow or a script.

## Can Bloomerang do this on its own?

Bloomerang has a REST API and a Zapier Create Donation action that takes up to 10 line items (checked 22 Oct 2026). Both need someone to build the flow: the Zap or script receives a donor ID, a fund and a method that are already clean. Neither matches a name on a deposit list to a record or files the gift under a campaign by what the list says.

## How you do it in Bloomerang today

1. Open the constituent's account, click New, select Donation, and enter the Date the gift was made and the Amount.
2. Enter the Non-Deductible amount if part of the gift is not tax deductible, then pick the Fund, Campaign and Appeal.
3. Choose Cash or Check under Method. In Kind and the outside services PayPal, Venmo, Apple Pay and Google Pay are there for payments processed outside Bloomerang.
4. Decide in the Acknowledgements section whether to send an acknowledgement right after saving, then click Save.
5. Repeat for every line of the deposit slip. Bloomerang's Rapid Gift Entry can keep values you enter again and again as defaults.

## How to log Bloomerang checks and cash gifts with AI

Prompt

```
Here is the deposit list from this week: Lena Ortiz 150 check, Priya Nair 40 cash. Find each donor in Bloomerang, record the gift in the Fall Appeal 2026 campaign, and tell me who you could not match.
```

1. 01
### Match each donor
search\_constituents runs per line with the name from your list. One clear match is used. Two people with the same name, or none, goes to your list of unmatched donors, so a gift is never filed on a guess.
2. 02
### Check the giving names
list\_giving\_options runs once. The fund, campaign and appeal you named are matched to ones that exist, and a name Bloomerang does not have is reported before anything is saved.
3. 03
### Record the gift
record\_donation saves each gift with the date, amount and Method Cash or Check. It never sends an acknowledgement now, because Bloomerang's help says to leave that off when Journey Automation handles it. Each call asks for your OK until you switch confirmation off for it.
4. 04
### Refuse card payments
A line that says credit card or ACH is not recorded. Method Credit Card, EFT and Saved Payment process a payment in Bloomerang, and this tool only records money that already arrived.
5. 05
### Report the totals
The agent adds up what it saved and compares the sum with the deposit total you gave, so a missing line shows before you close the books.

### What you get back

Example data

```
Deposit lines: 2, total 190.00
Recorded 2:
- Lena Ortiz, 150.00, Check, General Fund, Fall Appeal 2026
- Priya Nair, 40.00, Cash, General Fund, Fall Appeal 2026
Not recorded: 0
Sum recorded 190.00 matches the deposit
```

### Other ways to ask

- Record these in-kind gifts with Method InKind and the fund Shelter Repairs.
- Read this month's check-scan notes in the folder and record each check, but show me the list before saving anything.
- Record the gala night table payments under the appeal Gala night and list the donors who have no record yet.

## What Bloomerang allows, and what to know first

- A gift to a constituent has a Date, an Amount, a Non-Deductible amount, a Fund, a Campaign, an Appeal and a Method.
- Saved Payment, Credit Card and EFT process the payment in Bloomerang, so they are not used to record money received another way.
- A donation synced from QuickBooks Online has to be edited in QuickBooks, not in Bloomerang.
- A standard user whose Transactions permission is View only cannot add transactions, and No access cannot add or view them. View and edit only transactions created by this user can create gifts and see only their own.
- Bloomerang lets you convert a saved donation into a recurring, pledge or membership payment later, so a mistaken type is fixable in the app.

record\_donation asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.

## Call record\_donation from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/bloomerang/constituents/48211/donations \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"date":"2026-10-19","amount":150,"method":"Check","fund":"General Fund","campaign":"Fall Appeal 2026","appeal":"Fall mailer"}'
```

Example response

```
{
"id": 90533,
"constituent_id": 48211,
"date": "2026-10-19",
"amount": 150,
"method": "Check",
"fund": "General Fund",
"campaign": "Fall Appeal 2026",
"appeal": "Fall mailer",
"acknowledgement_sent": false
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is bloomerang\_write → record\_donation. Example data.

## Frequently asked questions

### Will the donor get an email when my agent records a gift?

No. The tool leaves "send acknowledgement now" off. Bloomerang's help tells you to leave it off when Journey Automation sends your acknowledgements, so that path stays in your hands.

### Is it safe to connect Bloomerang to Cotlet?

Yes. You sign in to Bloomerang yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Bloomerang once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
