# Reschedule BookingKoala bookings, one job or a whole day

> Move one BookingKoala booking or a whole closed day to new times, keeping each provider and checking for clashes before anything changes.

A storm closes Thursday, or a customer texts to push their clean to Friday. In BookingKoala each job moves through its own Reschedule button, and a closed day can mean a dozen of them in a row.

Cotlet does it in your own BookingKoala account with list\_customers, list\_bookings, get\_booking and reschedule\_booking, called by your AI agent, an n8n workflow or a script.

Official options

## Can BookingKoala do this on its own?

BookingKoala has no API or Zapier action that changes a booking date (checked 12 Oct 2026); Zapier and Make can only react to an updated booking. Customers can reschedule their own bookings, with an optional rescheduling fee, but the help center describes business-side changes one booking at a time through the Reschedule button and shows no bulk move.

By hand

## How you do it in BookingKoala today

1. Find the jobs under Bookings > Upcoming Bookings, in List View or in Calendar View for the day.
2. Open a booking and click the blue "Reschedule" button; for a recurring customer, choose "This Booking Only" or "All Future Appointments".
3. Pick the new date and arrival time and click the blue "Update Booking" button.
4. Look at the provider's new day afterwards: BookingKoala puts an "NA" tag on a job that now overlaps another booking or runs past the provider's hours.
5. The pain: a closed day repeats the same clicks for every job, each new slot is chosen by eye per provider, and it is easy to lose track of which jobs on the list are already moved.

With an agent

## How to reschedule BookingKoala bookings, one job or a whole day

Prompt

```
Thursday is a storm day. Move every Thursday booking to Friday or Saturday, same provider and as close to the old time as possible, and tell me who could not be moved.
```

1. 01
### Find exactly the jobs to move
For a closed day the agent calls list\_bookings with folder upcoming and that date as from and to. For one customer request it finds the person with list\_customers by name or phone, then lists their bookings and asks which visit is meant if two fall in the same week.
2. 02
### Read each job before touching it
get\_booking gives the provider, the service and the notes. Recurring customers need care: the agent moves only the one visit, and when the request really means a new weekday for the whole series it stops and asks, because that is an "All Future Appointments" change in BookingKoala.
3. 03
### Find a slot the same provider can work
list\_bookings with the provider\_id and the target day shows what that provider already has. The agent keeps the old arrival time when it is free, otherwise takes the nearest gap long enough for the job, so the move does not create an NA tag on either booking.
4. 04
### Plan first, then move
You get the full old-to-new list before anything changes. Each reschedule\_booking call keeps the provider and waits for your OK, so you can approve the whole storm day at once or strike a line.
5. 05
### Report what did not fit
Jobs with no gap on the target days are left where they are and listed with the customer phone number. If BookingKoala rejects a move because the slot filled meanwhile, the agent reads that provider's day again before proposing a new time.

### What you get back

Example data

```
Storm day Thu 16 Oct: 9 bookings found
Moved, same time: 6 jobs to Fri 17 Oct (Team Blue 3, Marcus Reed 2, Ana Silva 1)
Moved, new time: #48251 Kim Park to Fri 13:00, Team Blue busy in the morning
Moved to Sat 18 Oct: #48255 Joe Rivera 10:00, Marcus Reed
Not moved: #48260 Priya Shah, biweekly series. Move only this visit or the whole series?
```

### Other ways to ask

- Sarah Miller texted: move her Thursday clean to Friday at 10:00 with the same team.
- Ana Silva has to leave at noon on Wednesday. Move her afternoon jobs to Thursday at the same times.
- Push every booking on 24 December to the next working day and show me the plan before changing anything.
- Which of tomorrow's jobs could move to Saturday morning with the same provider? Do not move anything yet.

Before you automate it

## What BookingKoala allows, and what to know first

- BookingKoala's Reschedule button asks whether a change applies to "This Booking Only" or "All Future Appointments", so moving one visit of a recurring service leaves the rest of the series where it was.
- BookingKoala decides what counts as a reschedule from "What do you consider a rescheduled booking?": a date change, a start time change (Time (Spots)) or any change to the booking, and that choice drives its reschedule alerts and notifications.
- Rescheduling fees in BookingKoala live under Settings > General > Store Options > General as a fixed amount or a percentage, charged after a set time the day before or within a number of hours (up to 120) of the job; the help center describes them for customer reschedules and does not say whether an admin move charges one.
- BookingKoala can email providers their schedule daily or weekly from Settings > General > Store Options > Provider > Send Schedule Automatically; a schedule sent before the move still shows the old times, and the "Send Schedule" button under Bookings > Upcoming Bookings sends a fresh one.

reschedule\_booking asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.
