# Request and reconcile your monthly Civitatis payment

> On the 1st, your agent checks last month's Civitatis settlement against bookings, requests the net payment after your OK and fetches the invoice.

Civitatis does not pay suppliers automatically: from the 1st of each month you have to log in and request last month's money. Miss a week and the transfer slips a week, and nobody checks whether the settlement matches the tours you ran.

Cotlet does it in your own Civitatis account with list\_payments, list\_bookings, request\_payment and list\_invoices, called by your AI agent, an n8n workflow or a script.

## Can Civitatis do this on its own?

Civitatis has no supplier API (checked 12 Oct 2026). Payment requests and invoices exist only in the provider panel, and connected booking systems such as Bokun or Ventrata sync bookings and availability, not settlements or invoices.

By hand

## How you do it in Civitatis today

1. From the first day of the month, log in to the Civitatis provider panel and request payment online for the services of the previous month.
2. Before requesting, compare the settlement with your own records: the bookings you ran, the cancellations and the commission Civitatis took.
3. After the request, wait for the transfer, which Civitatis makes on the Tuesday after the week of the request.
4. Download the commission invoice from the invoicing area of the provider panel for your accountant.
5. The pain is that nothing reminds you: a forgotten request leaves the money with Civitatis, and checking the numbers by hand means matching a month of booking emails.

With an agent

## How to request and reconcile your monthly Civitatis payment

Prompt

```
On the 1st of each month, check last month's Civitatis settlement against my bookings, request the payment if it matches, and send me the commission invoice.
```

1. 01
### Find months still open
list\_payments for the year shows each month and whether it is paid, requested or not requested. The agent works on last month and also reports any older month still not requested, so a forgotten summer month does not stay unpaid.
2. 02
### Rebuild the month from bookings
list\_bookings for the first to the last day of that month, with status all, gives confirmed and cancelled bookings. The agent compares the confirmed bookings with the services figure in the settlement.
3. 03
### Stop on a mismatch
If the settlement and the bookings differ by more than the margin you set, the agent lists the bookings that explain the gap and asks before requesting anything. A month that matches goes on to the request.
4. 04
### Request, then wait for your OK
request\_payment for the month is a money action and waits for your confirmation. The agent shows the net amount and the commission first. It never requests the current month, because Civitatis opens requests only once the month is over.
5. 05
### Hand over the paperwork
list\_invoices returns the commission invoice for that period with its download link, which the agent attaches to the report for your accountant.

### What you get back

Example data

```
September 2026 settlement
Services: 3,100.00 EUR, commission: 620.00 EUR, net: 2,480.00 EUR
Bookings check: 41 confirmed, 3 cancelled, matches the settlement
Payment requested Thu 1 Oct, expected Tue 6 Oct
Commission invoice inv_2026_09, 620.00 EUR, link attached
Still open: none
```

### Other ways to ask

- Request every month of 2026 that is still not requested, one by one, after showing me the amounts.
- Do not request anything, just tell me last month's net amount and the commission rate it implies.
- Every January, download all commission invoices for the past year and list them with amounts.

Before you automate it

## What Civitatis allows, and what to know first

- Civitatis opens payment requests from the first day of each month, for the services of the previous month, made online from the provider panel.
- Civitatis pays requests made Monday to Sunday on the following Tuesday, except Madrid public holidays.
- Civitatis says international transfers in currencies other than euros and dollars can take up to 7 working days to arrive, depending on the bank, and prefers rates in local currency, paid from an account in the supplier's own country without international transfer fees.
- The traveler pays Civitatis 100% when booking, and Civitatis settles with the supplier at the start of the next month after taking its commission, which is negotiated with each supplier and invoiced monthly.

request\_payment asks for your OK by default. To run it monthly without you, switch confirmation off for that tool in your dashboard.

### What does Civitatis invoice the supplier for?

For its commission. Per the Civitatis provider FAQ, Civitatis invoices the commission negotiated with each partner every month and pays the supplier the rest of what travelers paid.
