# Turn site notes into Contractor Foreman daily logs

> Your agent turns a foreman's text or voice note into a Contractor Foreman daily log: tasks performed, people on site, deliveries, weather remarks.

Source: https://cotlet.dev/integrations/contractor-foreman-api-mcp-server/add-daily-logs

The foreman leaves the site at 4 pm with a voice memo on his phone and no wish to type. By the time someone in the office fills in the Contractor Foreman Daily Log tabs, half the details are gone.

Cotlet does it in your own Contractor Foreman account with list\_projects, list\_daily\_logs and create\_daily\_log, called by your AI agent, an n8n workflow or a script.

## Can Contractor Foreman do this on its own?

Contractor Foreman has no API for daily logs and its Zapier app has no daily log trigger or action (checked 11 Oct 2026). Inside the app, a Daily Log Reminder can prompt chosen roles to create a log when they clock out, but someone still has to type the log.

By hand

## How you do it in Contractor Foreman today

1. Open the Daily Logs module and click the plus icon at the top right; fill the required Project, Arrival Date and Arrival Time, then click Create Daily Log.
2. On the Details tab, type the Tasks Performed, which Contractor Foreman also shows on the project in date order, and add delays or site conditions.
3. Switch to the People tab: pick employees under Select/View Employees, click Assign Subs to Jobsite for subcontractors and enter their headcount, hours and notes, then add visitors.
4. Open the Material tab for Material Items Delivered and Material Items Used, then Notes and Files for remarks and site photos.
5. Repeat for every active project, every day. The log is usually written from memory at the end of the day, so vague task descriptions and missing subs are common, and a missing day is noticed only when a claim or inspection dispute needs it.

With an agent

## How to turn site notes into Contractor Foreman daily logs

Prompt

```
Here is Mike's voice note from the Maple St remodel. Turn it into today's daily log: framing crew of 4, one electrician, drywall delivered, rain stopped work at 2:30.
```

1. 01
### Match the note to a project
The agent searches list\_projects with the street name or customer from the note. Two open jobs on the same street, or no match at all, make it stop and ask instead of guessing.
2. 02
### Check the day is not already logged
list\_daily\_logs for that project and date shows whether a superintendent already started a log. If one exists, the agent shows it next to the new note and asks how to proceed, since it does not merge text into another person's log.
3. 03
### Split the note into the log sections
Work done goes into the notes as clear task lines ("Framed second floor east wall"), crews and subs go into people with headcounts, and deliveries become separate entries. Rain, wind or a late inspector become weather notes, because Contractor Foreman records the conditions on its own.
4. 04
### Keep internal remarks out of the client record
Comments such as "plumber was late again" stay out of the log text unless you say otherwise, because Project Notes can be shared with clients and appear on the PDF. The agent lists what it left out so you can add it in the app as an internal note.
5. 05
### Report gaps the office should close
After the log is saved the agent lists what the note did not cover: no arrival time, no named subcontractor, a delivery without a supplier. Those are the fields that matter later when a delay or a back charge is disputed.

### What you get back

Example data

```
Daily log saved: Maple St Remodel (P-0142), Thu 9 Oct 2026, log 557190
Tasks: framed second floor east wall; checked window rough openings
On site: Framing crew 4, Electrical sub 1 (Brightline Electric)
Delivered: 48 sheets 1/2" drywall, 20 studs 2x6x12
Weather note: rain after 2 pm, crew stopped 2:30
Left out (internal): "plumber no-show, call Ray"
Missing: arrival time, drywall supplier name
```

### Other ways to ask

- Every weekday at 5 pm, take the notes the crew leads texted me today and write one daily log per project.
- Log yesterday for the Johnson bathroom from this photo caption list, I forgot to do it.
- Read last week's daily logs on Maple St and tell me which days have no log or no crew listed.
- Write a daily log for the Oak Ave job: inspector visit at 10, passed rough plumbing, no crew on site.

Before you automate it

## What Contractor Foreman allows, and what to know first

- A Contractor Foreman daily log has six tabs: Details, People, Material, Equipment, Notes and Files.
- Contractor Foreman fills the Employee Time Cards field of a daily log from Time Cards by itself, but only for employees and subcontractors who are Contractor Foreman users and clock in and out there; everyone else is added by hand.
- Material Items Delivered in a Contractor Foreman daily log works from approved purchase orders, so a delivery with no approved PO cannot be checked off there.
- Contractor Foreman keeps two kinds of daily log notes: Notes stay internal and are left off the PDF, while Project Notes can be shared with clients and show on the PDF.
- A Contractor Foreman daily log status is In Progress, Deferred or Complete; Complete means no more notes will be added.

create\_daily\_log changes only your own Contractor Foreman data and reach no one else, so it runs without asking first.

## Frequently asked questions

### Can a Contractor Foreman user be reminded to write the daily log?

Yes. In Daily Logs, the gear icon opens the module settings, and under General Settings the Daily Log Reminder lets you tick the roles (for example Foreman) that are prompted to create a log when they clock out. The prompt opens the module; the fields are still filled by hand.
