# Record Evite RSVPs for guests and get a final head count

> Log RSVPs that came by phone or text into Evite without notifying guests, then get the head count and dietary comments ready for the caterer.

Two days before the dinner, half the answers came by text, a call or a chat at school pickup, so the Evite count is short. The caterer wants one number and the dietary notes, and both live in the guest list.

Cotlet does it in your own Evite account with list\_events, get\_event, list\_guests, update\_guest\_rsvp and export\_guest\_list, called by your AI agent, an n8n workflow or a script.

## Can Evite do this on its own?

Evite has no API for RSVPs or the guest list (checked 12 Oct 2026). Hosts edit a guest's response and guest count one at a time in View Guest List, and Export guest list in Manage Event downloads the list as a file. The file is one row per guest, so the totals for the caterer and the dietary notes from the comments are still worked out by hand.

By hand

## How you do it in Evite today

1. Open My Invitations, find the event, click Manage Event and then View Guest List.
2. Click the guest's name, select Edit below the name and email address, choose the response and the guest count, and click Save. Repeat for every answer that came outside Evite.
3. For someone who was never invited through Evite, add them on the Add Guests page first and then edit their response the same way.
4. Click Export guest list on the right side of Manage Event to download the file with every guest's RSVP status, party size and comment.
5. Add up the party sizes and copy the dietary notes out of the comment column by hand. A guest saved under a misspelled name is easy to miss, so the same person can be counted twice.

With an agent

## How to record Evite RSVPs for guests and get a final head count

Prompt

```
Mark Sam and Priya as attending with 2 people each, they told me on the phone, then give me the final head count and the dietary notes for the caterer.
```

1. 01
### Match each answer to one guest
From your notes ("Sam and Priya, 2 each") the agent looks the names up in list\_guests, then checks email or phone when a name is ambiguous. Two guests called Sam means a question to you, never a guess.
2. 02
### Do not overwrite a guest's own answer
When a guest already answered in Evite and your note says something else, the agent shows both and asks which one stands. A no\_reply guest is updated straight away.
3. 03
### Check the party size against your settings
get\_event returns the plus-one cap set in RSVP Options. A phone answer that brings more people than the cap allows is flagged to you before it is saved, because the guests on the invitation itself cannot bring that many.
4. 04
### Record the answers
update\_guest\_rsvp writes the response and party size. Evite does not notify the guest, so these calls run without asking. A person who is not on the list at all is reported instead of added, since adding them would send an invitation.
5. 05
### Hand over the count
With the list up to date, the agent totals yes and maybe party sizes, pulls every comment that mentions food, and calls export\_guest\_list for the file the caterer can open.

### What you get back

Example data

```
Team offsite dinner, Sat 14 Nov 2026: 3 RSVPs recorded, guests not notified.
Sam Rivera: no response to yes, party of 2. Priya Nair: already yes with 2, unchanged.
"Alex" matches Alex Tran and Alex Moore; tell me which one called.
Head count: 41 attending (yes), 4 more if every maybe comes.
Dietary notes: 3 vegetarian (Nair, Ortega, Kim), 1 nut allergy (Becker), 1 gluten free (Lopez).
File for the caterer: offsite-guest-list.csv, 52 guests.
```

### Other ways to ask

- Put the final guest list with RSVPs and comments into a spreadsheet for the caterer.
- Every evening this week, log the RSVPs I forward you from texts and send me the running head count.
- Mark the Nguyen family as maybe with 4, and tell me how many vegetarians are coming so far.
- Export the school picnic guest list and list everyone who is still a maybe.

Before you automate it

## What Evite allows, and what to know first

- Evite does not notify a guest when the host changes their RSVP, and the guest can still change it later by resubmitting from the original invitation.
- Evite guests can update their own RSVP any time before the event date, so a head count exported early can still move.
- Evite's Export guest list file holds each guest's name, email and/or phone, RSVP status, number in the party and the comment they left.
- Evite's plus-one cap, Max number of additional guests per RSVP under RSVP Options, goes up to +9 and applies to the whole list, never per guest.
- Guests who RSVP through an Evite shareable link appear on the guest list only after they respond, so they cannot be pre-filled from a phone answer.

update\_guest\_rsvp changes only your own Evite data and reach no one else, so it runs without asking first.
