# Log call notes and the next step in Freshsales

> Turn call notes into a note on the Freshsales contact and a dated next-step task, so the follow-up does not depend on memory.

Source: https://cotlet.dev/integrations/freshsales-api-mcp-server/log-call-notes-and-next-steps

After a call you remember the promise you made, and by the evening you have not typed it into the contact or scheduled the next step.

Cotlet does it in your own Freshsales account with get\_contact, add\_note and create\_task, called by your AI agent, an n8n workflow or a script.

## Can Freshsales do this on its own?

Freshsales has notes and tasks in the app and in its REST API (checked 22 Oct 2026), and note templates to fill in. A Workflow can add a task when a record changes. Nothing turns your own call summary into a note and a dated task, which is the gap for a rep with many calls.

## How you do it in Freshsales today

1. A rep opens the contact's details page, clicks the Notes box on the right edge, types the note and clicks Done; Freshsales also saves it by itself after 5 seconds.
2. For a deal or an account, the rep opens its landing page and clicks the Add Note sidebar, where seeded templates such as first-call scripts and discovery questions are offered.
3. The rep then adds the next step: on the contact page, Task, then the Plus icon; or from the Activities Dashboard with Add task.
4. After a logged phone call, the call log under Conversations > Phone > All Phone Calls has More actions > Add task.
5. The summary is typed from memory, and the task title, due date and Related to link are three more fields to fill for every call.

## How to log call notes and the next step in Freshsales

Prompt

```
Here are my notes from today's call with Priya Nair at Harbor Dental. Save them as a note on her contact, then create a task for me to send the quote by Friday 9:00.
```

1. 01
### Find the right contact
get\_contact returns the contact with its account, owner, open deals and latest notes. If your prompt names a person who matches two contacts, the agent asks which one before writing anything.
2. 02
### Write the note
add\_note saves your summary on the contact as a note, in your words, with the date of the call at the top. Freshsales shows notes on a timeline on the contact page, so it sits with the earlier ones.
3. 03
### Read the notes already there
Before saving, the agent compares your text with the latest notes from get\_contact. A call that is already written down is not saved a second time.
4. 04
### Set the next step
create\_task adds one task for the promise in your summary, with the title as you would write it, the due date you gave and the contact in Related to. A task with a collaborator emails them, so the agent asks first.
5. 05
### Report both
The agent answers with the note and the task as saved, so you can check the due date from your phone.

### What you get back

Example data

```
Note saved on Priya Nair (Harbor Dental), 22 Oct
Task created: Send quote with two payment options
Due Fri 23 Oct, 09:00, owner Dana Reyes
Open deals on this contact: Annual support plan (Follow-up)
```

### Other ways to ask

- Save these notes on the deal Annual support plan, not on the contact, and set the task on the deal.
- Every evening, take my notes from this chat for each call, save each as a note and create the tasks.
- Only save the note, no task, and show me the open tasks on this contact.

## What Freshsales allows, and what to know first

- Freshsales keeps notes on the contact and lays them out on a timeline on its details page.
- Notes added while logging a meeting, a call or a custom activity are linked to the contact too.
- A new Freshsales task gets the task type at the top of the task type list, so the type is not chosen per call.
- Freshsales sets task times in 30-minute steps, and the task owner is the creator unless another user is picked.
- A user with restricted access who is added as collaborator can view the task but not edit it.

add\_note and create\_task ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

## Call add\_note from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/freshsales/notes \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"record_type":"Contact","record_id":5100231,"body":"Call 22 Oct: wants a start date before the end of November and a quote with two payment options. Next step: send the quote by Friday."}'
```

Example response

```
{
"note_id": 9300052,
"record": {
"type": "Contact",
"id": 5100231,
"name": "Priya Nair"
},
"body": "Call 22 Oct: wants a start date before the end of November and a quote with two payment options. Next step: send the quote by Friday.",
"created_at": "2026-10-22T14:05:00"
}
```

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
