# Offboard leavers from LearnUpon training

> Unenroll people who left from their open courses and disable their LearnUpon accounts, keeping the training history. Runs from your agent.

When someone leaves, their LearnUpon account keeps showing up in group reports and overdue lists until an admin cleans it up, and that step is easy to forget.

Cotlet does it in your own LearnUpon account with list\_users, get\_user, unenroll\_users and disable\_user, called by your AI agent, an n8n workflow or a script.

## Can LearnUpon do this on its own?

LearnUpon offers this in the interface, in the batch CSV upload (an enabled column set to No disables accounts) and in the REST API with PUT /users/{id} and DELETE /enrollments/{id} (checked 20 Oct 2026). Dynamic rules unenroll people only when a rule removes them from a group. The official MCP server is described as reporting only.

## How you do it in LearnUpon today

1. The admin opens Users, finds the person and turns off Login enabled under Basic Info, then selects Save.
2. For open courses, the admin goes to Courses > the course > Enrollments, selects the learners and chooses Unenroll, then confirms with Yes.
3. If the admin removes a user from a group by hand, the user stays enrolled on the group's courses until the admin unenrolls them too.
4. Deleting is a separate choice: Users > the user's name > Delete User, which keeps the account for 30 days before personal data is removed.
5. The checklist repeats for every leaver, across every course the person was enrolled on.

## How to offboard leavers from LearnUpon training

Prompt

```
These 3 people left the company. Unenroll them from unfinished courses and disable their LearnUpon accounts. Do not delete anything.
```

1. 01
### Find each leaver
list\_users looks each name or email up, and get\_user returns the groups and enrollments of that account. A name that matches two accounts is listed for you instead of guessed.
2. 02
### Unenroll from open courses
unenroll\_users runs per course for the enrollments that are Not Started or In Progress, so completed courses stay in the training record. Unenrolling is checked with you by default, and a manager account needs the permission to unenroll users, which is off by default.
3. 03
### Disable, never delete
disable\_user sets Login enabled to off. Enrollments and training history stay intact, and an admin can turn the account back on, so the call is reversible.
4. 04
### Report what is left
The agent reads get\_user again for each leaver and reports any course that still shows an active enrollment.

### What you get back

Example data

```
Leavers: 3
Unenrolled from open courses: 7 enrollments
Kept completed courses: 11
Accounts disabled: 3 (Login enabled off)
Still enrolled: 0
```

### Other ways to ask

- Every Friday, disable accounts on this list from HR and unenroll them from open courses.
- Only unenroll these 3 people from Forklift safety and leave their accounts as they are.
- Show me every user who has not logged in for a year, and do nothing yet.

## What LearnUpon allows, and what to know first

- Disabling an account keeps its data, enrollments and training history until an admin enables it again or deletes it.
- Batch CSV upload can disable accounts but cannot delete them.
- A deleted account stays for 30 days and disappears from groups, enrollments and reports; after 30 days personal data is removed and Support cannot restore it.
- A manager can disable or delete only users in their own groups, and the delete permission is off by default.
- Dynamic rules unenroll users automatically when a rule removes them from a group, while a manual group removal does not.

unenroll\_users and disable\_user ask for your OK by default. To run it weekly without you, switch confirmation off for those tools in your dashboard.

## Call disable\_user from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/learnupon/users/51872/disable \
  -H "Authorization: Bearer $COTLET_API_KEY"
```

Example response

```
{
"user_id": "51872",
"login_enabled": false
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is learnupon\_write → disable\_user. Example data.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
