# Upload receipts to Lexware Office automatically

Supplier invoices arrive as PDFs in an inbox or a shared folder, and every one has to be dragged into Lexware Office before your accountant or you can book it.

## Can Lexware Office (lexoffice) do this on its own?

Lexware Office offers upload in the app and a receiving email address with up to 20 approved senders, which is available in version XL only (checked 14 Oct 2026). The public API, also XL only, has a files endpoint that stores a file in Zu prüfen. Neither route checks or books the receipt for you.

## How you do it in Lexware Office (lexoffice) today

1. Click Beleg hinzufügen at the top right of the dashboard, or open the arrow next to Neuen Beleg erfassen and choose Mehrere Bilddokumente hochladen for a batch.
2. Add the files with + Belege hinzufügen or drag them into the document list; Lexware Office allows at most 10 image documents in one go.
3. Automatic recognition starts and fills in the receipt type, contact, number, dates and amount, and the receipt is saved with the status Zu prüfen.
4. Open each one and click Beleg erfassen, fix the fields the recognition got wrong, and move on with Speichern + nächster Beleg.
5. Anything you cannot finish stays in Zu prüfen after Zwischenspeichern, so the list has to be checked again the next week.

### Upload each file once  
Your agent calls upload\_receipt per file with a name and a file URL or content, and keeps a list of file names already sent, so a rerun on the same folder does not create duplicates in Zu prüfen.
2. 02  
### Stay under the batch limit  
Uploads go one file at a time with a short pause, so a folder of 30 PDFs is never hit by the 10-image limit of the batch dialog. A file the app rejects is reported with its name, not retried.
3. 03  
### Read the recognition result  
list\_receipts with status to\_check returns what the automatic recognition filled in. The agent flags receipts with no contact, no amount or no date.
4. 04  
### Hand over, do not book  
The agent never presses Beleg erfassen. Booking needs the category and tax rate, so the receipts stay in Zu prüfen for you or your accountant, with the incomplete ones listed first.
5. 05  
### Report totals  
The run ends with the number uploaded, the sum of recognised amounts and the names of files that failed, so a missing PDF is found the same day.

- Upload the receipt photos from this phone folder and list only the ones with no amount recognised.

## What Lexware Office (lexoffice) allows, and what to know first

- Receipts uploaded to Lexware Office are saved with the status Zu prüfen until someone clicks Beleg erfassen on them.
- Automatic recognition fills in the receipt type, contact, number, dates and amount, and manual text recognition is not available for e-invoice receipts.
- The batch upload dialog takes at most 10 image documents at a time, and e-invoices cannot be combined with each other.
- The receiving email address, with up to 20 approved sender addresses, is available only in Lexware Office version XL.
- Lexware describes version S as Belegerfassung und -archiv, so receipt upload is not tied to the invoicing versions.

upload\_receipt changes only your own Lexware Office (lexoffice) data and reach no one else, so it runs without asking first.
