# Book clients from the Mangomint Intelligent Waitlist

> Mangomint finds waitlist openings but never tells the client. Your agent checks openings each morning, picks the right client and books it.

A late cancellation frees a facial slot on Tuesday, and the Intelligent Waitlist shows a notification on the calendar. Nobody at the front desk sees it until lunch, and by then the slot is gone.

Cotlet does it in your own Mangomint account with list\_waitlist, get\_client\_timeline, list\_appointments and book\_from\_waitlist, called by your AI agent, an n8n workflow or a script.

## Can Mangomint do this on its own?

Mangomint finds openings for waitlist entries and can alert staff with an internal email, an in-app notification or a push notification (checked 12 Oct 2026). Its help center states that clients are not automatically notified when an opening becomes available, and an opening is booked only when a staff member selects Book. There is no API and no waitlist webhook.

By hand

## How you do it in Mangomint today

1. In Mangomint, open the waitlist from the calendar, or tap the filters button in the mobile app and select Go to Waitlist.
2. Filter the waitlist by date, staff member and location, or show only entries with available openings.
3. Open an entry, read the green area at the top that lists its openings, and select Book, or select Dismiss next to an opening that does not suit the client or the staff member.
4. Contact the client yourself, because Mangomint does not message the client about the opening.
5. When one opening matches several entries, someone has to compare them and decide who gets it, between appointments and while the slot is still free.

With an agent

## How to book clients from the Mangomint Intelligent Waitlist

Prompt

```
Check this week's waitlist, show me which entries have an opening, and book each one with the client's requested stylist once I confirm.
```

1. 01
### Sweep the days you care about
The agent calls list\_waitlist for each day in the range and keeps only entries that have at least one opening. Entries without openings are counted, not acted on.
2. 02
### Drop clients who no longer need it
For each candidate it reads get\_client\_timeline. A client who has since booked the same service on another day is skipped, so the slot goes to someone still waiting.
3. 03
### Settle ties by your rule
When one opening fits several entries, the agent applies the rule from your prompt, such as the requested stylist first. With no rule it shows you the clients side by side and waits for your pick.
4. 04
### Confirm the slot is still free
Just before booking, list\_appointments for that stylist and day shows whether the front desk or online booking has already filled the time. A taken slot is dropped from the plan.
5. 05
### Book after your OK
Approved openings go through book\_from\_waitlist one at a time. If a booking fails, the agent offers the same slot to the next matching client instead of stopping.

### What you get back

Example data

```
Waitlist, Mon 12 to Sat 17 Oct, Downtown: 9 entries, 3 with openings
Booked: Priya Shah, Signature Facial with Alex, Tue 13 Oct 11:00 AM
Waiting for you: Tue 2:30 PM brow slot fits Dana Ruiz and Mia Chen. Dana asked for Sam
Skipped: Leo Park already booked a Signature Facial on Thu 15 Oct
No openings yet: 6 entries
```

### Other ways to ask

- Every weekday at 7am, check today and tomorrow on the waitlist and book any opening that matches the client's requested stylist.
- Only look at waitlist entries for color services this week and show me the matches before booking anything.
- List every Saturday waitlist entry that still has no opening, so I can call those clients about weekday times.

Before you automate it

## What Mangomint allows, and what to know first

- Mangomint's New opening for waitlist entry message goes to an internal email address, with an optional in-app or push notification for staff, and the help center states that clients are not automatically notified of openings.
- Mangomint's Client was added to the waitlist message can send the client an email and a text, both when staff add the entry and when the client joins from online booking.
- Clients can join the Mangomint waitlist from online booking only after an Admin turns on Allow clients to join waitlist under Settings > Online Booking > Preferences.
- Viewing or managing the Mangomint waitlist needs an Admin user or the Can manage waitlist permission in Staff Member settings.
- Dismiss in Mangomint removes one opening from an entry, and the client stays on the waitlist for the next one.

book\_from\_waitlist asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.
