# Book a customer into a Mariana Tek class from an email or text

> A member emails to be booked in. The agent finds the Mariana Tek account, picks a payment option that fits the class, then reserves or waitlists.

A member replies to the newsletter or texts the studio line: "Can you put me in Saturday's 9am?" Someone at the front desk opens the class roster in Mariana Tek Admin, finds the right account and works out which membership or pack should pay, in between check-ins.

Cotlet does it in your own Mariana Tek account with find\_customer, get\_customer, list\_classes, book\_reservation and add\_to\_waitlist, called by your AI agent, an n8n workflow or a script.

## Can Mariana Tek do this on its own?

Mariana Tek has no self-serve API for studios (checked 12 Oct 2026). Its developer guides send developers to the Integrations Team for credentials, and a custom developer must include the studio owner in the request. Customers can book themselves on the studio website and app, but a request that arrives by email, text or DM still lands on the front desk, and Mariana Tek has no feature that turns those messages into bookings.

By hand

## How you do it in Mariana Tek today

1. Open the class roster in Mariana Tek Admin from the schedule of the right location.
2. Click Reserve, or click an open spot on a Pick-A-Spot layout, and search for the customer by name or email.
3. Choose a payment type in the drop-down of the class reservation dialog; Mariana Tek lists only the memberships and credits that work for that class.
4. If the drop-down is empty, click Add a New Membership or Credit, take payment in Point of Sale, then come back and finish the reservation.
5. Click Reserve to confirm. For a full class, go to the class and use Add to Waitlist instead, search for the customer, pick a payment option and click Waitlist.
6. Reply to the customer by hand. The search, the payment check and the reply repeat for every message, and a member with two accounts (a school email to log in, a personal one to pay) is easy to book on the wrong one.

With an agent

## How to book a customer into a Mariana Tek class from an email or text

Prompt

```
Book jamie@example.com into Saturday 9am Pilates Sculpt at Downtown with her membership. If it is full, put her on the waitlist and tell me.
```

1. 01
### Pin down the person
find\_customer runs with the email or phone number the message came from. When two accounts come back, the agent does not choose; it shows both with their memberships and asks you, because Mariana Tek support names duplicate accounts as a common reason a booking goes wrong.
2. 02
### Pick the class, not just the time
"Saturday 9am" can match two rooms or two locations. The agent reads list\_classes for that date and names the class type and instructor back to you whenever more than one class starts at that hour.
3. 03
### Choose what pays, the way Mariana Tek would
get\_customer shows what the member holds. The agent applies Mariana Tek's own order: memberships before credits, member-only before shared with guests, credits with the soonest expiration first. A frozen membership or an empty pack is passed over, and if nothing valid is left the agent stops and says a package has to be sold at the desk first.
4. 04
### Book, or offer the waitlist
With spots open, the reservation goes through after your OK, on the bike or mat the member asked for when the layout is Pick-A-Spot. With none open, the agent proposes add\_to\_waitlist instead of failing, and tells you the position the member gets.
5. 05
### Draft the answer
The run ends with a one-line reply for the member: class, time, spot and what paid. It flags anything worth a mention, such as the last credit in a pack being used.

### What you get back

Example data

```
Jamie Park (jamie@example.com): booked into Pilates Sculpt, Sat 17 Oct 9:00, Downtown Studio, spot 4.
Paid with Unlimited Monthly; her 10 Class Pack was left untouched.
Riley Chen: HIIT 45, Sat 17 Oct 18:00, is full. Added to the waitlist at position 2 after your OK.
Morgan Diaz: two accounts found (m.diaz@school.edu, morgan.diaz@example.com). Nothing booked; which one should I use?
Draft reply to Jamie: "You are in Saturday 9am Pilates Sculpt, spot 4, on your Unlimited Monthly."
```

### Other ways to ask

- Book Jamie into every Tuesday 7am Pilates Sculpt for the next four weeks with her 10 Class Pack.
- Go through this morning's booking requests in the studio inbox, book or waitlist each one, and list the ones you could not match to an account.
- Book Riley into tonight's HIIT 45 at Riverside, spot 12 if it is free, any spot otherwise.

Before you automate it

## What Mariana Tek allows, and what to know first

- Mariana Tek booking windows do not apply to employees, so a staff login can book a member into a class that the member's own window does not reach yet.
- The Mariana Tek Daily Reservation Limit, set under Configuration > Locations > Edit > Location Settings > Reservation Settings, caps classes per customer per day and counts guest bookings toward it.
- A Mariana Tek class whose Class Tags do not match the Credit Type or Membership Type a customer holds offers no valid payment option, so that booking cannot go through.
- Mariana Tek counts held spots toward capacity, so a class that is full once its holds are included refuses new reservations until staff release a hold.
- Mariana Tek moves the top waitlisted customer into a freed spot only inside the Waitlist Auto-Fill window; a spot freed after that window is held until an employee adds someone from the Waitlist tab or releases it.

book\_reservation and add\_to\_waitlist ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.

## Frequently asked questions

### What happens if the member has no valid membership or credits?

Mariana Tek sends staff to Point of Sale through Add a New Membership or Credit before the reservation can be finished. Cotlet has no tool that sells a package, so the agent stops and tells you which member and class are waiting.
