# Follow up on overdue Method CRM invoices

> Find overdue Method CRM invoices, email each customer the invoice link with a reminder and log the follow-up. Skips customers someone already handles.

Invoices pass their due date in Method, QuickBooks keeps the balance open, and nobody sees which customers need a nudge until someone opens Invoice Reports.

Cotlet does it in your own Method CRM account with list\_invoices, get\_invoice, get\_customer, send\_invoice and create\_activity, called by your AI agent, an n8n workflow or a script.

## Can Method CRM do this on its own?

Method's API can read invoices and customers, but Method ships no MCP server and its keys have no scopes (checked 23 Oct 2026). A Send Email action added under Customization sends the subject and body you wrote once. Invoice Reports chart overdue invoices, and the Help Center article describes no reminder action.

## How you do it in Method CRM today

1. Open the Invoices App, click the vertical ellipsis and choose Reports, or click Reports in the top-right corner of the Invoices List.
2. Set the Status filter to Overdue. Method offers All, Overdue and Paid, with no Open option.
3. Pick Assigned To (QuickBooks Online) or Sales Rep (QuickBooks Desktop) to see one person's invoices, and a Range to limit the period.
4. Click a bar in any chart to list the invoices behind it in a grid at the bottom, then open an invoice for detail.
5. To chase one, choose Send > Email on the invoice, which emails the customer a link to their portal, and write the reminder by hand. Nothing records that you asked.

## How to follow up on overdue Method CRM invoices

Prompt

```
List overdue invoices in Method. For each customer without an open activity, email the invoice link with a short reminder and log an activity. Show me the rest.
```

1. 01
### Read the overdue list
Your agent calls list\_invoices with status set to overdue, optionally with assigned\_to, and follows next\_cursor until it comes back empty. Method has no Open status, so overdue is the filter that matches "past due".
2. 02
### Check each invoice
get\_invoice returns the due date, balance due, terms and customer message. The agent works out the days overdue from the due date and drops invoices whose balance is zero.
3. 03
### Skip customers someone handles
get\_customer returns the contact's open and closed activities. A customer with an open activity already assigned to a colleague goes on your list instead of getting a second message.
4. 04
### Pick the tone by age
A first reminder for a few days overdue, a firmer one for weeks. Customers with several overdue invoices get one message that names them all, sent from the oldest.
5. 05
### Send and log
send\_invoice emails the portal link with your text, and create\_activity logs the reminder on the customer so the next run skips them. Each email waits for your OK by default; the activity reaches no one and does not wait.

### What you get back

Example data

```
Overdue invoices: 4, balance 7,390
Reminded 3 (6,690):
- Ortega Kitchens, invoice 1043, 4,800, 23 days
- Chen Dental, invoice 1038, 1,250, 12 days
- Patel Studio, invoice 1047, 640, 4 days
Left for you 1: Nguyen Garage, 700, Dana already has an open call
```

### Other ways to ask

- Every Monday, list overdue invoices over 30 days and draft the emails without sending any.
- Email only invoices assigned to Dana, and log an activity for her to call if they stay unpaid.
- Show me overdue balance by customer, largest first, and do not contact anyone.

## What Method CRM allows, and what to know first

- Method's Invoice Reports offer a Status filter with All, Overdue and Paid, so there is no Open view to start from.
- On QuickBooks Desktop accounts Method keeps only the last month of transactions by default, so older overdue invoices appear only after a full sync.
- Send > Email on an invoice sends a link to the customer's portal, and SMS appears only when SMS is enabled on the account.
- A customer can pay in the portal only when a Payment Gateway has been set up, so a reminder without that sends them to a page with no pay button.

send\_invoice asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.

## Call send\_invoice from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/method-crm/invoices/1043 \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"subject":"Invoice 1043 is 23 days overdue","body":"Hi Ana, invoice 1043 for 4,800 was due on Sep 30. You can view and pay it in your portal. Tell me if anything is unclear."}'
```

Example response

```
{
"invoice_id": "1043",
"status": "sent",
"sent_to": "billing@ortega-kitchens.example",
"subject": "Invoice 1043 is 23 days overdue"
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is method\_crm\_write → send\_invoice. Example data.
