# Freeze a Momence membership for travel or injury

> A member asks to pause: your agent finds the right Momence subscription, warns which bookings the freeze cancels and schedules the unfreeze date.

Source: https://cotlet.dev/integrations/momence-api-mcp-server/freeze-membership

Pause requests arrive by email or in the Inbox: a member is traveling next month, another has a knee injury. Momence members cannot freeze themselves, so each request waits until someone at the desk opens the profile.

Cotlet does it in your own Momence account with search\_customers, get\_customer, freeze\_membership and cancel\_membership\_renewal, called by your AI agent, an n8n workflow or a script.

## Can Momence do this on its own?

Momence lets staff freeze a subscription now or on a scheduled date, with a scheduled unfreeze, and freeze all renewals of one subscription in bulk from Memberships > Subscriptions and Packs (Momence Help, checked 12 Oct 2026). Customers cannot freeze from the app or web. The Momence Developer API can freeze and unfreeze a bought membership with your own OAuth client and code (checked 11 Oct 2026). Neither reads the member's request, picks the right subscription or warns about the bookings a freeze will cancel.

By hand

## How you do it in Momence today

1. Go to Customers > Customer List, search for the member and click their name.
2. Before freezing, look at their upcoming bookings: Momence cancels every future booking made with that subscription, and those bookings are lost.
3. Open the dropdown to the right of the subscription and choose Freeze. In the pop-up pick freeze now or a scheduled start date, and set the unfreeze date in the second row if the member gave one.
4. Reply to the member with the new dates and what happens to their next payment, which depends on the subscription's Preserve Payment Schedule setting.
5. Requests without a return date are the ones that go wrong: the membership stays frozen until someone remembers it, and Momence has no bulk unfreeze to fix several at once.

With an agent

## How to freeze a Momence membership for travel or injury

Prompt

```
Jordan Pike emailed that they are traveling from 1 to 30 November. Freeze their membership for those dates and tell me which of their booked classes it cancels.
```

1. 01
### Find the member and the right subscription
search\_customers by the email the request came from, then get\_customer for the profile. Two profiles with the same name, or a member holding two active subscriptions, make the agent stop and ask which one. When a membership has a linked membership, the agent freezes the main one only.
2. 02
### Show the bookings the freeze will cancel
The agent compares upcoming\_bookings with the freeze window and lists every class from the freeze start onward that this subscription paid for. You see the list before anything changes, because Momence does not restore those bookings after the unfreeze.
3. 03
### Always set an end
The freeze is scheduled with freeze\_from and unfreeze\_on from the request, after your OK. If the member gave no return date, the agent asks you for one instead of creating an open-ended freeze.
4. 04
### Skip what is already done
A subscription already frozen or with a freeze already scheduled is left as it is and reported with its current dates, so a member who sent the same email twice is not frozen twice.
5. 05
### Cancel instead of pause, only when asked
When the member writes that they are leaving rather than pausing, the agent proposes cancel\_membership\_renewal at the end of the paid period. If Momence refuses because a minimum number of renewals is not met yet, the agent reports that instead of retrying.

### What you get back

Example data

```
Jordan Pike (jordan@example.com), Unlimited Monthly
Freeze scheduled: 1 Nov to 30 Nov 2026, after your OK
Bookings cancelled by the freeze: Vinyasa Flow Tue 4 Nov 19:00, Power Yoga Sat 8 Nov 09:00
Next renewal moves from 5 Nov to 5 Dec (Preserve Payment Schedule is off)
Already handled: Ana Reyes, freeze 10 to 24 Nov was scheduled last week
```

### Other ways to ask

- Freeze Sam Rivera's membership from today for six weeks, she has a knee injury, and unfreeze it on 28 November.
- Go through this week's Inbox messages, find every freeze request with dates and prepare the freezes for my approval.
- Alex wants to quit. Cancel the renewal on his membership at the end of this billing period instead of freezing it.

Before you automate it

## What Momence allows, and what to know first

- Momence charges the full price on the original billing day after a freeze when Preserve Payment Schedule is on in the subscription's Renewal Settings; when it is off, Momence calculates a prorated amount for the frozen period.
- By default Momence moves the renewal date forward by the number of frozen days when the subscription is unfrozen.
- Only a Momence staff account with permission to perform freezes can freeze a subscription; customers cannot do it from the app or the web.
- Freezing the main membership of a Momence linked pair blocks both memberships, and thawing the main one thaws the linked one too.
- Momence can freeze all renewals of one subscription in bulk from the sign-up list, but unfreezing is done customer by customer.

freeze\_membership and cancel\_membership\_renewal ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.
