# Check Pixieset gallery downloads and resend invites before expiry

> Find the Pixieset galleries no client has downloaded before Auto Expiry hides them, and resend the invite after your OK.

Source: https://cotlet.dev/integrations/pixieset-api-mcp-server/check-gallery-downloads

Weeks after delivery, a client writes that the gallery link no longer works, because the collection expired before anyone downloaded it. Catching that in time means opening Activities > Download on every recent gallery.

Cotlet does it in your own Pixieset account with list\_collections, get\_download\_activity, list\_contacts and share\_collection, called by your AI agent, an n8n workflow or a script.

Official options

## Can Pixieset do this on its own?

Pixieset has no API or webhook for download activity (checked 12 Oct 2026). Activities > Download shows the activity of one collection and exports it as a CSV. Auto Expiry reminders send up to 3 emails before a gallery expires and, on upgraded plans, can go to clients who registered, downloaded, favorited or purchased; none of the options picks out the client who never downloaded.

By hand

## How you do it in Pixieset today

1. Open each recent collection and go to Activities > Download, where the Gallery tab lists full gallery downloads with the resolution, the sets, the PIN used and the date.
2. Check the Single photo tab as well; Pixieset lists single photo downloads there only when Single Photo Download Email Tracking is on under Settings > Download.
3. For digital downloads a client paid for, open Store > Orders, because Pixieset keeps Store purchases out of Download Activities.
4. Open More > View email history to see whether the first invite was Sent or bounced, then click Share to send it again.
5. Repeat for each gallery, every week. Pixieset's Auto Expiry reminders target clients who registered, downloaded, favorited or purchased, or addresses you type in, so the client who never downloaded is found by hand.

With an agent

## How to check Pixieset gallery downloads and resend invites before expiry

Prompt

```
Check the galleries I shot in the last 8 weeks, tell me which ones nobody has downloaded, and resend the invite for those.
```

1. 01
### Pick the galleries to check
list\_collections returns recent collections with their event dates. The agent keeps the ones inside the window you set, such as shoots from 2 to 8 weeks ago, and leaves older work alone.
2. 02
### Read downloads gallery by gallery
get\_download\_activity runs once per collection. Any recorded download counts as delivered, and that gallery drops out of the report.
3. 03
### Treat an empty result with care
An empty list means no tracked download, not proof that the client saved nothing: single photo downloads only show up when email tracking is on. The report says so, so you can skip a client who told you they saved their favorites.
4. 04
### Find the right address
list\_contacts searches Studio Manager for the client name in the collection title. With one clear match the agent proposes that email; with none or several, such as two Johnsons, it asks you instead of guessing.
5. 05
### Resend with a short reminder, after your OK
share\_collection goes out once per gallery per run, with a line asking the client to download before the gallery closes. The report lists every resend and every gallery left for you to decide.

### What you get back

Example data

```
Checked 9 galleries shot 17 Aug to 28 Sep 2026.
7 have downloads. Johnson Family Session: full gallery downloaded on 3 Oct by client@example.com.
No tracked downloads: Garcia Newborn (col_5502), Kim Engagement (col_5497).
Garcia Newborn: invite resent to elena.garcia@example.com after your OK.
Kim Engagement: two contacts named Kim, waiting for you to pick the address.
```

### Other ways to ask

- Every Monday, check galleries shot in the last 60 days and only report the ones with no downloads; do not send anything.
- Has the Johnson family downloaded their gallery yet? If not, resend the invite with a note that it closes on 31 Oct.
- Who downloaded the Smith Wedding gallery and when? A guest says the link expired.

Before you automate it

## What Pixieset allows, and what to know first

- Pixieset gallery download links expire after 7 days, and the client generates a new download from the gallery to get a fresh link.
- Pixieset emails the gallery download link only once the archive is processed, and archives of 5 to 10 GB or more take a while to arrive.
- Pixieset expires a collection at 11:59pm your local time on the Auto Expiry date and switches it to Hidden without deleting the photos.
- Pixieset allows up to 3 Auto Expiry reminder emails per collection, and they appear in the email history of that collection.

share\_collection asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.

## Frequently asked questions

### Can the agent extend a gallery's expiry date?

No, there is no Cotlet tool for that. In Pixieset you change or remove the date under Settings > General > Auto Expiry and then set the status back to Published.
