# Cancel a PushPress class and notify booked members

> Coach out sick? Your agent texts or emails everyone registered for a PushPress class from View Class, then takes the class off the calendar.

A coach calls in sick at 6 a.m., or a storm closes the gym for Saturday. Someone has to warn every member booked in each affected class before deleting it from the Core calendar, because PushPress tells nobody.

Cotlet does it in your own PushPress account with list\_classes, get\_class\_roster, message\_class\_registrants and cancel\_class, called by your AI agent, an n8n workflow or a script.

Official options

## Can PushPress do this on its own?

PushPress Core deletes a class without sending any notification, and the help center tells staff to message registrants from View Class themselves (help center checked 12 Oct 2026). The Platform API cannot cancel classes or message registrants, and the Zapier app has no trigger or action for cancelling a class (checked 11 Oct 2026). Nothing native ties the notice to the cancellation.

By hand

## How you do it in PushPress today

1. Open Schedule > Calendar in the Core dashboard and click the class that will not run.
2. Choose View Class, select all members or only some, and send the notice by SMS, email or both.
3. Back on the calendar, click the trash can icon and pick a scope: "This class only", "This class and all future classes on this day of the week" or "This class and all future classes in the series".
4. Repeat both steps for every other class that is off, such as the 8:00, 9:00 and 10:00 on a snow day.
5. The pain: every cancelled class means two separate actions, often done from a phone at dawn, and PushPress help confirms that deleting a class sends members no notice at all.

With an agent

## How to cancel a PushPress class and notify booked members

Prompt

```
Saturday's 9:00 class is cancelled because Dana is sick. Text everyone booked, tell me who is on the waitlist, then cancel the class.
```

1. 01
### Pin down the classes
The agent reads the calendar for the day named in the prompt with list\_classes and matches the time and class name. On a closure day it takes every class still ahead that day. When two classes share a start time, say CrossFit and Open Gym at 9:00, it asks which one before going further.
2. 02
### Count who is affected
For each matched class it pulls the roster with get\_class\_roster and counts the Reserved entries. PushPress help describes the class message as going to the members currently registered, so Waitlist names are listed for you to contact yourself. A class with nobody booked skips the message and goes straight to cancellation. A roster with members already Checked In means the class has started, so the agent stops and asks.
3. 03
### Draft one notice and show it
It writes a text of 160 characters or less with the class, the time and what happens next (a makeup class, a rebooking link), plus a longer email when you asked for both. You see the draft and the count of registered members before anything goes out.
4. 04
### Message first, then cancel
message\_class\_registrants runs for each class, and cancel\_class follows only after the message reports sent. If a message fails, that class stays on the calendar and the agent names it, so no member loses the warning.
5. 05
### Use the narrowest scope
The agent cancels a single date unless you said the slot is gone for good. A coach leaving the Tuesday 6:00 slot for good becomes this\_and\_future\_weekday. The whole series is only cancelled when you say so in words.

### What you get back

Example data

```
Cancelled 3 classes on Sat 17 Oct 2026 (snow closure).
CrossFit 8:00, coach Dana: 9 reserved, SMS sent, class cancelled.
CrossFit 9:00, coach Dana: 3 reserved, SMS sent, class cancelled.
On the waitlists, not messaged, contact them yourself: Priya Nair (8:00), Leo Grant (9:00).
Open Gym 10:00: nobody booked, cancelled without a message.
Class credits go back automatically to the 12 reserved members, none were checked in.
Sunday classes left as they are. Tell me if the closure runs into Sunday.
```

### Other ways to ask

- Snow day: text everyone booked for the rest of today and cancel all those classes.
- Coach Mike is leaving. Email the Tuesday 6:00 regulars, then cancel that slot from next week on.
- Holiday schedule: on 24 Dec message the 9:00 and 10:00 bookings and cancel both classes.

Before you automate it

## What PushPress allows, and what to know first

- PushPress Core sends no notification of its own when a class is deleted from the calendar; members only hear about it from a message staff send.
- The Core trash can dialog offers three scopes: this class only, all future classes on the same weekday, or all future classes in the series.
- PushPress returns class credits automatically to members who were not checked in when their class is cancelled.
- PushPress help lists Core text messages as United States and Canada only, limited to 160 characters and outbound only, so members cannot reply to them.
- Core class emails are sent from themachine@pushpress.com, and member replies go to the customer service email in system settings or to the admin who sent the message.

message\_class\_registrants and cancel\_class ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.

## Frequently asked questions

### Why send the message before cancelling the class?

The roster lives on the class. PushPress help says that once a class is deleted, members have to be reached through Communicate or one at a time, so a class deleted first means rebuilding the list of who was booked by hand.
