# Log Recruiterflow call notes and follow-up tasks

> Turn your recruiter call notes into a Recruiterflow note on the candidate and a dated follow-up task, without opening the profile.

Source: https://cotlet.dev/integrations/recruiterflow-api-mcp-server/log-notes-and-follow-up-tasks

After a screen call the notes sit in a notebook or a chat, and the promise to send the salary range on Thursday lives in nobody's task list.

Cotlet does it in your own Recruiterflow account with list\_candidates, add\_note and create\_task, called by your AI agent, an n8n workflow or a script.

## Can Recruiterflow do this on its own?

Recruiterflow's help center describes notes and tasks as separate records with separate forms (checked 23 Oct 2026). The official MCP is read-only, so it can read a candidate's notes but cannot add one or create a task. The REST API needs a key from Recruiterflow support.

## How you do it in Recruiterflow today

1. Open the candidate's profile, select the Notes tab and type the note. Use @ to mention a colleague, who gets an email.
2. Decide the visibility: a note is shared with the whole hiring team unless you mark it private, which limits it to admins and tagged people. Click Save.
3. Open Tasks in the left sidebar and press + Create Task, or use + Add Task on the Tasks tab of the profile.
4. Fill Title, Task Type (To-do, Call, Email, SMS or LinkedIn Message), Priority, Assigned To and Due Date & Time, then confirm with Create Task.
5. The two steps are separate screens, so after a day of calls the note gets written and the task gets forgotten.

## How to log Recruiterflow call notes and follow-up tasks

Prompt

```
Find Dana Whitfield in Recruiterflow, add this as a shared note: "Screen call: wants 95k, can start in 4 weeks, needs a visa check." Then create a Call task for me, due Thursday 10:00, to send her the salary range.
```

1. 01
### Find the right person
list\_candidates matches partial names, so a short query finds more than a full name. Location matching is literal. If two candidates match, the agent lists both with their current title and company and asks which one.
2. 02
### Write the note as you said it
add\_note saves your text unchanged on the candidate and does not summarize it. It is shared with the hiring team unless your prompt says private. The tool takes no mentions, so no colleague gets an email from the note.
3. 03
### Turn promises into tasks
create\_task is called once per follow-up the note contains, with the candidate in Associated With so the task opens their profile. Your prompt gives the type and the due date. Without one, Recruiterflow's own default of 3 business days at 10:00 AM applies.
4. 04
### Assign it to the right person
Assigned To defaults to you. When the prompt names a colleague, the agent assigns it to that person and says so, because the task lands in their list. Each note and each task waits for your OK by default.

### What you get back

Example data

```
Candidate: Dana Whitfield, Product Designer at Brightline (id 772318)
Note saved, shared with the hiring team
Task created: "Send Dana the salary range", Call, priority None, due Thu 10:00, assigned to you
```

### Other ways to ask

- Add the notes from today's five screen calls, one note each, and a follow-up task for every candidate who asked for something.
- Make the note private and create no task.
- Create a recurring Monday task to review candidates who are still in Phone Screen.
- Draft the note and the task in the chat first and wait for my OK.

## What Recruiterflow allows, and what to know first

- A Recruiterflow note is shared with the whole hiring team by default. A private note is visible only to admins and the people tagged in the thread.
- A task needs Title, Task Type, Priority, Assigned To and Due Date & Time. The default due date is 3 business days from now at 10:00 AM.
- Assigning one task to several people creates a separate task for each person.
- Task Type values are To-do, Call, Email, SMS and LinkedIn Message, plus any custom types an admin adds.
- Notes are for context. Salary and location you want to filter and report on belong in the profile fields.

add\_note and create\_task ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

## Call add\_note from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/recruiterflow/candidates/772318/notes \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"body":"Screen call: wants 95k, can start in 4 weeks, needs a visa check.","private":false}'
```

Example response

```
{
"note_id": "90431",
"candidate_id": "772318",
"private": false,
"created_at": "2026-10-23T09:10:00Z",
"created_by": "Dana Reyes"
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is recruiterflow\_write → add\_note. Example data.

## Frequently asked questions

### Is it safe to connect Recruiterflow to Cotlet?

Yes. You sign in to Recruiterflow yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Recruiterflow once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
