# Summarize ResMan aged receivables with AI

> Pull ResMan aged receivables for a date, rank accounts by balance and read the ledger of the biggest ones. Runs weekly, read-only.

Source: https://cotlet.dev/integrations/resman-api-mcp-server/aged-receivables-summary

Every week the site manager needs the list of accounts that owe money, ranked, and then has to open the biggest ones to see what is unpaid and when it was charged.

Cotlet does it in your own ResMan account with list\_properties, list\_receivables and get\_ledger, called by your AI agent, an n8n workflow or a script.

## Can ResMan do this on its own?

ResMan reports can be batched, scheduled and exported to Excel (checked 23 Oct 2026). The Partner API has a Receivables endpoint that mirrors the Aged Receivables report, but it is only for approved Integration Partners. A report does not read the ledgers behind its top balances for you.

## How you do it in ResMan today

1. ResMan reports run at the property, property group or portfolio level and drill down as deep as the user wants.
2. A manager runs the Aged Receivables report for a date and reads the outstanding charges, unapplied payments and credits per account.
3. For each large balance, the manager opens the resident ledger to see which charges are open and when they posted.
4. ResMan can batch and schedule reports for distribution and export them to Excel, but the ranking and the read-through of the ledgers is still done by a person.
5. Split ledgers, non-resident accounts and prospect accounts can all carry a balance, so the list mixes more than lease accounts.

## How to summarize ResMan aged receivables with AI

Prompt

```
For Lemon Tree, list every account with a balance over $500 today, largest first. For the top three, get the ledger since the first of the month and tell me what is unpaid.
```

1. 01
### Choose the date and the property
list\_properties gives the property ids your login can see. If your prompt names a property the agent uses it; otherwise it runs once per property and reports each separately.
2. 02
### Read the receivables
list\_receivables returns the accounts with outstanding charges, payments and credits for the date. An account whose balance is below zero holds an unapplied payment or credit, so the agent keeps those out of the owing list and counts them on a separate line.
3. 03
### Rank and cut
The agent sorts by balance and keeps accounts above the threshold in your prompt. Account types Lease, Split Ledger, WOIT Account, Non-Resident Account and Prospect are reported with their type, so a split ledger is not mistaken for a resident.
4. 04
### Open the ledgers of the top accounts
get\_ledger runs for the first accounts of the ranking, from the posted-since date you name. The agent separates open charges, payments and credits, and reports the oldest unpaid charge with its category.
5. 05
### Report, change nothing
Both tools only read. The agent does not post charges, take payments or contact residents. Anything that should leave the building, such as a notice, is left as a list for you.

### What you get back

Example data

```
Lemon Tree, accounts over $500 on Oct 23: 3, total $4,060
- Unit 214 Tomas Weber: $1,850 (rent Oct 1 $2,150, payment $300)
- Unit 102 Marissa Jackson: $1,450 (rent Oct 1 unpaid)
- Unit 305 Priya Nair: $760 (late fee)
Accounts holding unapplied payments or credits: 1
```

### Other ways to ask

- Every Monday, send me the five biggest balances of each property in my portfolio.
- List accounts with a balance but no payment in the last 60 days.
- Compare today's receivables with last Monday's and list the accounts that grew.

## What ResMan allows, and what to know first

- ResMan's Receivables data mirrors the Aged Receivables report and lists outstanding charges plus unapplied payments and credits for every account on the date asked.
- A billing account is any account a receivable transaction can be posted to: a lease, a split ledger, a non-resident account, a WOIT account or, occasionally, a prospect.
- ResMan reports can be scheduled for distribution to executives, owners and investors and exported to Excel.
- ResMan ledger transactions are typed Charge, Credit or Payment, each with a transaction category.
- Reports in ResMan run on live data in real time, so a ledger read a minute later can differ from the receivables read before it.

Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.

## Frequently asked questions

### Is it safe to connect ResMan to Cotlet?

Yes. You sign in to ResMan yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get ResMan once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
