# Schedule a Riverside recording session and invite the guest

> Your agent checks the Riverside studio Planner for a clash, books the session in the right time zone and emails the guest the studio invite.

A guest replies "Thursday at 3 works, London time", and the booking still has to happen in Riverside: open the studio, find the day in the Planner, fix the time zone, type the email and send. For a weekly show with a new guest every episode, that is the same form every week.

Cotlet does it in your own Riverside account with list\_studios, list\_sessions and schedule\_session, called by your AI agent, an n8n workflow or a script.

Official options

## Can Riverside do this on its own?

Riverside schedules sessions only in the studio Planner (checked 12 Oct 2026). The Business API, for select Business accounts, can list scheduled events but not create them, and the official Riverside MCP (Grow plan and up) has no scheduling. The Riverside help center also says there is no Calendly automation for recording sessions.

By hand

## How you do it in Riverside today

1. In Riverside, open the studio for the show and click Planner in the left sidebar.
2. On the right date, click the Schedule icon in the top right corner and choose Session from the dropdown.
3. Add the Session name, pick the day with the calendar icon, click the times to set start and end, and click the time zone under them, because the Planner defaults to the host's local time zone.
4. Enter the guest emails (Riverside takes up to 10 per session), add an optional description and click Create session.
5. Riverside blocks a session that overlaps another one in the same studio, and the invite email shows the time in the host's time zone, so a guest in another zone has to convert it themselves.

With an agent

## How to schedule a Riverside recording session and invite the guest

Prompt

```
Book a recording in my Product Hour studio with guest@example.com next Thursday at 15:00 London time, one hour, called "Episode 42: Pricing your first product", and send the invite. Check the studio is free first.
```

1. 01
### Pick the studio by show name
The agent matches the show you name against list\_studios. When two studios have similar names, or the account has only one studio and you named another show, it asks instead of guessing.
2. 02
### Check the slot before booking
list\_sessions for that studio and that day shows what is already planned. If the new time overlaps an existing session, Riverside would refuse it, so the agent reports the clash and offers the nearest free hour or another studio.
3. 03
### Turn the guest's words into one exact time
"Thursday at 3 London time" becomes a start and end with the London offset for that date, including summer time changes. The default length is one hour unless you say otherwise.
4. 04
### Book and invite in one call, after your OK
schedule\_session gets the episode title, the times and the guest emails, at most 10\. You see the studio, the time in your zone and the guest's zone, and the emails before anything is sent.
5. 05
### Hand back the link facts
The report says when the emailed link stops working, 24 hours after the start, so you know to resend if the recording slips by a day.

### What you get back

Example data

```
Booked: "Episode 42: Pricing your first product" in The Product Hour
Thu 15 Oct 2026, 15:00 to 16:00 London (16:00 to 17:00 for the guest in Berlin)
Invite emailed to guest@example.com
Studio was free; nearest other session is Wed 14 Oct at 11:00
The emailed studio link works until Fri 16 Oct, 15:00 London
```

### Other ways to ask

- Book recordings with these three guests on Tuesday, Wednesday and Thursday at 10:00 New York time and invite each one.
- What sessions do I have in the Planner this week, and who is invited to each?
- Find a free hour next week in my Founders Q&A studio between 14:00 and 18:00 Berlin time and book it for guest@example.com.

Before you automate it

## What Riverside allows, and what to know first

- Riverside lets the host, account owner, admins, directors and editors schedule a session from the studio Planner.
- The Riverside session form takes up to 10 guest emails; each invited person gets a personalized email with the session details and the studio link.
- The link in a Riverside invite email is personal and works until 24 hours after the scheduled start, and Riverside writes the time in the invite in the host's time zone.
- Scheduling does not create a Riverside project: the project appears once the recording finishes.
- The Riverside Planner can repeat a session up to 50 times with one invite email; schedule\_session books one date per call, so a series sends one email per date.

schedule\_session asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.
