# Convert accepted Service Fusion estimates to jobs

> Find Service Fusion estimates customers accepted online, convert the option they chose into a job and flag the ones that need your call.

Source: https://cotlet.dev/integrations/service-fusion-api-mcp-server/convert-estimate-to-job

Customers accept estimates from the link in the evening and over the weekend, the estimate flips to Estimate Accepted, and the work is not on anyone's schedule until someone opens the Estimates Dashboard and converts it.

Cotlet does it in your own Service Fusion account with list\_estimates, get\_estimate and convert\_estimate\_to\_job, called by your AI agent, an n8n workflow or a script.

## Can Service Fusion do this on its own?

Service Fusion's Open API can list and read estimates but has no call to convert one, and the Zapier connection has a New Estimate trigger and no estimate status trigger (checked 11 Oct 2026). In the app, Service Fusion sets Estimate Accepted by itself when the customer accepts through the online link and sets Estimate Won once a user converts the estimate, but the Convert to Job step stays manual (help center checked 12 Oct 2026).

By hand

## How you do it in Service Fusion today

1. Open the Estimate Dashboard, which groups estimates by lifecycle status, and look at the ones in Estimate Accepted.
2. Open each estimate and check which option the customer chose and signed for when accepting online.
3. Select Convert to Job, pick the approved option and convert it; Service Fusion shows Converted next to that option.
4. Open the new job, which starts Unscheduled when the estimate had no start date and no technician, and give it a date and a technician.
5. The help center describes conversion only as a user action, so a yes received on Friday night sits in Estimate Accepted until someone checks the dashboard.

With an agent

## How to convert accepted Service Fusion estimates to jobs

Prompt

```
Convert every estimate customers accepted online since yesterday into a job. Schedule the Smiths' Better option on estimate 3317 for Thursday at 9 and leave the rest for dispatch.
```

1. 01
### Collect the yeses
Your agent calls list\_estimates with the Estimate Accepted status, using your account's name for it if you renamed it, for the window in your prompt. Estimates you name by number, such as one accepted over the phone, are added to the list.
2. 02
### Find the option the customer picked
get\_estimate shows each option and whether it is already Converted. When only one option is still open, that is the one. When two or more are open and your prompt does not name one, the agent asks instead of choosing the cheapest or the first.
3. 03
### Never convert twice
An estimate whose chosen option already shows Converted was handled already and is skipped. A second option is converted only when your prompt says the customer approved both, since each one becomes its own job.
4. 04
### Schedule only what was agreed
A date from your prompt goes into convert\_estimate\_to\_job as the start. Without one, the new job is created with no date, so the dispatcher books it with the customer instead of the agent picking a slot.
5. 05
### Close the loop
The report lists each new job number with its estimate, so the office can call customers whose jobs still need a date.

### What you get back

Example data

```
Estimates in Estimate Accepted: 4
Converted: #3317 Carol Smith, option Better, $1,890.00, job #10484 Thu Oct 15 9:00
Converted: #3322 Dev Patel, Option 1, $640.00, job #10485 waiting for dispatch
Skipped: #3309 Lena Ortiz, option Best already Converted (job #10471)
Waiting for you: #3325 Ray Okafor has Good and Best open, which one did he accept?
```

### Other ways to ask

- Every morning at 7, convert estimates accepted overnight and leave the new jobs for dispatch.
- The Smiths approved both the furnace repair and the duct cleaning options on estimate 3317: convert each into its own job.
- List estimates accepted more than 3 days ago that still have no converted option, without converting anything.

Before you automate it

## What Service Fusion allows, and what to know first

- A Service Fusion estimate holds up to five options, and converting more than one option creates one job per option.
- Service Fusion applies Estimate Accepted automatically only when the customer accepts through the online link from the email or text, so an estimate approved by phone keeps its old status until a user changes it.
- A job converted from a Service Fusion estimate gets Unscheduled when it has no start date and no technician, and Dispatched when a technician is assigned, with or without a date.
- The Opportunity Owner on a Service Fusion estimate becomes the Agent Rep on the converted job, and the Opportunity Owner defaults to whoever created the estimate.

convert\_estimate\_to\_job asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.
