# Create Service Fusion customers and jobs from new leads

> Turn web-form, inbox and phone leads into Service Fusion customers and jobs: match repeat callers by phone first, then book or park the job.

Source: https://cotlet.dev/integrations/service-fusion-api-mcp-server/create-customers-and-jobs-from-leads

By 9 a.m. the office has a website form, two voicemails and an email asking for a quote, and each one has to be looked up in Service Fusion, added if new and turned into a job before the caller books another contractor.

Cotlet does it in your own Service Fusion account with list\_customers, create\_customer and create\_job, called by your AI agent, an n8n workflow or a script.

## Can Service Fusion do this on its own?

Service Fusion creates leads by itself only through partner integrations such as HomeAdvisor under My Office > Integrations, which files each lead as an estimate or a job, and through Customer Web Portal service requests, which the office still confirms by phone (help center checked 12 Oct 2026). The Open API and the Zapier Create Customer and Create Job actions need the Pro plan, and the Zapier help article lists only triggers and create actions, with no step that looks up an existing customer first (checked 11 Oct 2026). Leads from a website form, a shared inbox or a call log are typed in by hand on Starter and Plus.

By hand

## How you do it in Service Fusion today

1. Search the caller's phone, email or name in Service Fusion Global Search or the Customers list to check for an existing account.
2. For a new caller, hover over the Customers tab and select the blue +New button, or use the green + button at the top right and choose New Customer, then fill in the account.
3. Open the customer account, select +New Estimate or Job, choose New Job, which fills in the customer, enter the remaining job details and select Save Job.
4. To book straight into a technician's slot instead, right-click the time block on the Dispatch Grid and select Job, which fills in the date, arrival time window and technician.
5. Every lead means three screens of typing, and a second account under the same name for a repeat caller is the kind of duplicate the help center warns breaks the QuickBooks sync.

## How to create Service Fusion customers and jobs from new leads

Prompt

```
New lead from the website form: Jane Doe, 555-0142, 48 Maple Court, Plano. Find her or add her as a customer with referral source Website, and book an AC tune-up for Thursday at 9.
```

1. 01
### Look the person up before anything else
Your agent searches list\_customers by phone number first, then by email, then by street address. A name alone is never treated as a match, because two households can share "John Smith" and one family can have three accounts under different first names.
2. 02
### Decide between existing, new and unclear
One match means the job goes under that account, using the customer\_name exactly as returned. Two or more matches stop the lead and the agent asks which account is right. A match on the address with a different name, such as a new owner or a tenant, is also a question for you, not a guess.
3. 03
### Open the account with its source
For a new caller the agent runs create\_customer with the contact, the service location and the referral source picked from your own list, so the lead report under Referral Sources stays correct. When the name already exists for another person, it adds the street or city to the account name to keep names unique.
4. 04
### Book the visit or leave it for dispatch
A lead with a date and time gets a create\_job with that start and a duration. A lead without a date gets a job with no start, so it waits for the dispatcher instead of taking a slot nobody agreed. A technician is set only when your prompt names one.
5. 05
### Hold back anything that is not a job
A request for a quote is reported as an estimate to prepare, not booked as a job. Spam, vendor pitches and job seekers in the leads inbox are listed and skipped, so none of them becomes a customer record.

### What you get back

Example data

```
Leads processed: 5
Existing customer, job booked: Jane Doe (matched by phone 555-0142), AC tune-up Thu Oct 15 9:00, job #10482
New customer and job: Tom Becker, 18 Elm St, Allen, source Website, water heater leak, job #10483 left for dispatch
New customer, no job: Ana Ruiz wants a quote for a new condenser, estimate to prepare
Skipped: 1 vendor pitch from the contact form
Waiting for you: "Mike" at 972-555-0199 matches Mike Hale and Mike Hale Jr., which account?
```

### Other ways to ask

- Every hour, read new messages in the leads inbox and add each person to Service Fusion with a job left for dispatch.
- Add these five leads from last night's Google Ads form with referral source Google Ads, but do not book any jobs yet.
- A caller at 214-555-0187 wants a furnace check next Tuesday at 8: find or create the customer and book it for Alex Rivera.

Before you automate it

## What Service Fusion allows, and what to know first

- Service Fusion warns when a new customer account name matches an existing one, and its help center asks for unique account names because duplicates cause sync issues with QuickBooks.
- New Service Fusion contacts start with the SMS consent toggle off; switching it to YES texts the contact a consent request, and a NO reply blocks automated texts such as reminders.
- Service Fusion emails a confirmation when a job is created only when Email Customer Confirmation When Job is Created is on in Outbound Email Settings and the Confirmation box is checked on the customer's contact email settings.
- A job created from the Service Fusion Calendar gets a date but no technician, while one created from the Dispatch Grid gets the date, the arrival time window and the technician of that row.

create\_job asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

## Frequently asked questions

### Should the agent also handle HomeAdvisor leads?

Usually not. Service Fusion's own HomeAdvisor integration, set up under My Office > Integrations, already creates those leads as estimates or jobs and tags them with a Home Advisor referral source. Point the agent at the sources Service Fusion does not connect to, such as your website form or a shared inbox.
