# Invoice completed Service Fusion jobs and send the invoices

## Can Service Fusion do this on its own?

Service Fusion's Open API reads invoices but cannot create or send them, and the Zapier connection has a New Invoice trigger and no invoice action (checked 11 Oct 2026). In the app, Create Invoice Automatically under My Office > Company Preferences invoices each job the moment it is created, before any work or parts are logged, and Email Customer Invoice After it is Created in Outbound Email Settings emails each new invoice to customers who opted in (help center checked 12 Oct 2026). Nothing in Service Fusion checks a finished job's charges before it is billed.

## How you do it in Service Fusion today

1. Open the Jobs Dashboard, find the jobs in Completed, and open each job to check the charges and notes the tech entered, then save the job.
2. Select Invoice in the upper right corner of the job and choose Invoice Now; Service Fusion places the new invoice number under Current Status.
3. For jobs closed with Close Out & Invoice Later, go to Accounting > Create Invoices, expand the customer, check the jobs, select Create Invoice For Selected Jobs and then Save Invoice.
4. Open the invoice, select Send and choose Email or Text Message, or check several invoices on the invoice dashboard and select Email to send them together.
5. A Completed job that nobody opens stays unbilled with no reminder, and a job where the tech forgot to add a part goes out at the wrong total.

## How to invoice completed Service Fusion jobs and send the invoices

### Collect what is ready to bill  
Your agent calls list\_jobs for the period you name with the status Completed, and again with Job Closed for work closed out for later billing. Jobs already Invoiced or Paid In Full are left out from the start.

### Check every job before billing it  
get\_job shows the charges. A job that already carries an invoice number is skipped. A job with a zero total or no services is not invoiced; it goes on the list for the office, because the tech either forgot the parts or it was a no charge visit.
3. 03  
### Finish jobs you name, not others  
When your prompt says a job is done but it still shows Started or On Site, the agent moves it to Completed with update\_job\_status first, with your approval. It never completes a job on its own judgment, because Completed also stops the labor clock.

### Invoice one job per invoice  
create\_invoice bills each job on its own. Job Closed jobs for one customer that your office usually combines, such as a property manager's monthly visits, are listed for Accounting > Create Invoices instead.
5. 05  
### Send once, on the right channel  
If your account already emails invoices on creation, the customer has it, so the agent asks you once and then only texts or skips the send. Otherwise send\_invoice goes by text to a mobile number or by email, and you approve the batch.

- Mark job 10482 as Completed, invoice it and text the invoice to the customer.
- Every Monday, list last week's invoices that are still unpaid and text each customer the invoice again with the pay link.

Before you automate it

## What Service Fusion allows, and what to know first

- Service Fusion refuses to invoice a job that is not Completed or closed unless Allow Invoicing Prior To Job Completion is turned on in My Office > Company Preferences.
- The Close Out & Invoice Later option, which moves a Service Fusion job to Job Closed, appears only when Allow Invoicing Prior To Job Completion is off.
- Email Customer Invoice After it is Created in Service Fusion reaches only customers whose Invoices box is checked in their contact email settings.
- A Service Fusion job set to Paid In Full by hand loses the option to email or print the invoice in the Field Worker App until its status goes back to Invoiced.

update\_job\_status, create\_invoice and send\_invoice ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

## Frequently asked questions

### Can it put several jobs on one invoice?

No. create\_invoice bills one job. Service Fusion combines jobs only for jobs closed with Close Out & Invoice Later, from Accounting > Create Invoices, so the agent lists those jobs for you to bill there.
