# Follow up open Teamleader quotations with AI

> Find Teamleader quotations that got no answer, skip deals already won, and create a follow-up task and note for each owner. Runs weekly.

Source: https://cotlet.dev/integrations/teamleader-api-mcp-server/follow-up-open-quotations

A quotation goes out, the deal moves to Quotation sent, and nothing happens until someone remembers to ask. Two weeks later the customer has gone quiet.

Cotlet does it in your own Teamleader account with list\_quotations, get\_deal, create\_task and add\_note, called by your AI agent, an n8n workflow or a script.

## Can Teamleader do this on its own?

Teamleader plans follow-up actions when a deal moves to a phase, shows banners for quotations with an expiry date, and Focus AI lists open quotations on request (checked 20 Oct 2026). All of these start from one deal or from someone asking in the chat. Nothing sweeps every sent quotation on a schedule and files a task for each owner.

## How you do it in Teamleader today

1. In the Quotations overview, the Status filter lists quotations by status such as sent and refused.
2. For each one the user opens the deal and checks whether another quotation on it was already accepted. A deal can hold several quotations.
3. The user plans a task on the deal. The work type is chosen when the task is created, and the work types are set under Settings > Calendar > Work types.
4. If a phase has a follow-up action, a task, meeting or call is planned when the deal is moved there. Quotation sent is the example Teamleader gives for a call.
5. An expiry date in the Valid until field makes Teamleader show banners and offer a reminder to the customer, but only on quotations that have one.

## How to follow up open Teamleader quotations with AI

Prompt

```
Find Teamleader quotations that were sent more than 10 days ago and are not accepted or refused. Skip deals that already have an accepted quotation. For each other one, create a call task for the deal owner in 2 days and add a note on the deal.
```

1. 01
### Collect the sent ones
list\_quotations runs with status sent and follows the pages to the end. Quotations in other statuses are left out.
2. 02
### Drop the won deals
get\_deal returns the deal phase and its other quotations. A quotation is skipped when another one on the same deal is accepted, because the rest stay in sent or not sent and would only make noise.
3. 03
### Apply your age rule
Only quotations sent before your cutoff are kept. The agent lists the ones just under it with the days left, so you can see what comes next week.
4. 04
### Plan the follow-up
create\_task adds a task on the deal with your work type, the due date and the deal owner. It reaches no customer and is deleted in Teamleader if it is wrong, so it does not wait for your OK.
5. 05
### Leave a trace
add\_note writes one line on the deal with the quotation, the day it was sent and the task due date. A second run finds the note and does not create a second task.

### What you get back

Example data

```
Sent quotations without an answer: 9
Tasks created 5, e.g. "Call Northwind Studio about the website quotation", due 23 Oct, owner Lotte Peeters
Skipped 2 (another quotation on the deal is accepted)
Not old enough yet 2:
- Harbor Print, sent 8 days ago
- Oak and Pine, sent 6 days ago
```

### Other ways to ask

- Every Friday, list quotations that expire next week and create a task to call each customer.
- Do the same, but only for quotations above 5000 EUR, and put the task on my name.
- Show me the open quotations as a table with the deal phase and the days waiting, and create nothing.

## What Teamleader allows, and what to know first

- Teamleader allows several quotations on one deal. When the customer accepts one, the others stay in sent or not sent until someone marks them as refused.
- A quotation can be marked as refused from the deal page, under Follow up in your open deal, or from the quotation page.
- The Valid until date of a quotation can be in the past, today or in the future. A default number of days can be set under Settings > Deals and Quotations.
- A task needs a work type. Work types are created under Settings > Calendar > Work types and can carry an hourly price.
- Every deal pipeline starts with four phases, New, Quotation sent, Accepted and Refused, which cannot be deleted.

create\_task and add\_note change only your own Teamleader data and reach no one else, so they run without asking first.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
