# Book Timetastic time off from your AI agent

> Book Timetastic leave for yourself or your team from chat: check the Wallchart for clashes first, respect staffing limits, cancel if plans change.

Source: https://cotlet.dev/integrations/timetastic-api-mcp-server/book-time-off

Booking leave in Timetastic is one form, but a manager booking for a team first has to read the Wallchart to see who else is off that week.

Cotlet does it in your own Timetastic account with list\_wallchart, book\_time\_off and cancel\_booking, called by your AI agent, an n8n workflow or a script.

## Can Timetastic do this on its own?

Timetastic has no way to book leave outside its own screens and apps except the API, and the API needs an admin user's token (checked 20 Oct 2026). An employee or manager who is not an admin has no API, so leave booked from a chat or a script needs another route.

## How you do it in Timetastic today

1. The person clicks Book time off at the top right of the Wallchart or the Calendar, or clicks and drags across days on the Wallchart to get a pre-populated form.
2. A manager or admin picks the person in the Who for field, and everyone picks the leave type from the Type drop-down.
3. Before submitting, the person reads the Wallchart for the department to see who else is off.
4. The request goes to the approver by email, and the Wallchart and the allowance update once it is approved.
5. Changing plans means opening the booking and clicking the Cancel icon, which only works for tomorrow or later when you are not the approver.

## How to book Timetastic time off from your AI agent

Prompt

```
Book Ana Torres Holiday from Dec 21 to Dec 24 in Timetastic. Check the Wallchart first and stop if two people from her department are already off.
```

1. 01
### Read the department first
list\_wallchart for the month of the request and the department of the person shows who is off on the days asked for. If the number of people already off is the limit you named in the prompt, the agent stops and reports the names without booking.
2. 02
### Pick the leave type
The agent uses the leave type you named, such as Holiday or Sick leave, exactly as Timetastic lists it. A name your account does not have fails before anything is sent, and the error lists the types you can use.
3. 03
### Book it and read the answer
book\_time\_off sends the request and returns the status and the approver who will get it. If Timetastic blocks the booking because of a department limit, the agent reports that message and does not retry.
4. 04
### Leave overrides to you
When a manager or admin books for someone and Timetastic shows its staffing warning, the agent stops. It continues only if your prompt allows the override, which sets confirm\_override.
5. 05
### Undo on request
If you say the plans changed, cancel\_booking cancels the request with the reason you give. For leave starting today or earlier, only an approver or admin can cancel, and the agent says so.

### What you get back

Example data

```
Wallchart, Support, Dec 21 to 24: nobody else off
Booked Ana Torres, Holiday, Dec 21 to 24 (4 days)
Status: pending, approver Priya Nair
No staffing warning
```

### Other ways to ask

- Book me sick leave for today and tell me who approves it.
- Book Dec 28 to 31 for everyone in Support who has allowance left, one request each.
- Check the Wallchart for the first two weeks of January and tell me the best days for a week off.
- Cancel Ana's Dec 21 booking, her plans changed.

## What Timetastic allows, and what to know first

- Timetastic books sick leave through the same form as other leave: pick Sick leave from the Type drop-down, and the employee, their manager or any admin can record it.
- Timetastic's default leave types are holiday, sick leave, unpaid, maternity/paternity, meeting and compassionate, and an admin can add more under SETTINGS > LEAVE TYPES.
- When a department's Maximum absent limit is exceeded, Timetastic blocks an employee booking for themselves, and shows a manager or admin a warning they can override with Confirm.
- Anyone can cancel their own future leave, but leave for today or earlier must be cancelled by the approver or an admin, and the approver gets an email either way.
- Group bookings skip approval: Timetastic approves them automatically and everyone gets an email.

book\_time\_off and cancel\_booking ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.

## Frequently asked questions

### Is it safe to connect Timetastic to Cotlet?

Yes. You sign in to Timetastic yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Timetastic once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
