# Export a monthly Timetastic leave report for payroll

> Turn the Timetastic monthly summary into leave totals per person and leave type, without declined or cancelled requests, ready for payroll.

Source: https://cotlet.dev/integrations/timetastic-api-mcp-server/monthly-leave-report

At month end someone downloads the Timetastic summary, opens the Excel file and rebuilds the leave totals per person for payroll.

Cotlet does it in your own Timetastic account with get\_monthly\_summary and get\_annual\_summary, called by your AI agent, an n8n workflow or a script.

## Can Timetastic do this on its own?

Timetastic offers these reports only as Excel downloads under Settings > Reporting & Backup (checked 20 Oct 2026). The API lists holidays and allowances, but has no endpoint for the monthly summary, so totals per leave type are built from raw bookings with an admin token. Nothing sends the report on a schedule.

## How you do it in Timetastic today

1. An account that can open SETTINGS > REPORTING & BACKUP picks the Monthly summary and chooses the month.
2. Timetastic downloads an Excel file with two worksheets: Month, with totals per active user by leave type, and Leave, with all the month's requests and bookings.
3. The Leave sheet also holds declined and cancelled requests, so whoever prepares payroll has to read past them.
4. For one person, the admin goes to USERS, clicks the three dots beside the name and chooses Download data.
5. The same steps repeat every month, and sick leave for a year or a month comes from the same page.

## How to export a monthly Timetastic leave report for payroll

Prompt

```
Give me September leave per person from Timetastic, holiday and sick days apart, without declined or cancelled requests.
```

1. 01
### Read the month
get\_monthly\_summary takes the month in YYYY-MM and reads both worksheets of the download, so the totals per person and the booking rows come back as data and not as a file. The account must be able to open the page; any other account gets APP\_PERMISSION\_DENIED and the agent says so.
2. 02
### Drop what does not count
The Leave rows include declined and cancelled requests. The agent removes them before it adds anything up and reports how many it removed, so the numbers match what was approved.
3. 03
### Check the totals against the rows
The Month totals are compared with the approved rows of the Leave sheet. A person whose two numbers differ is listed for you with both values, and the agent does not pick one.
4. 04
### Shape it for payroll
The agent returns the layout you asked for, for example one line per person with holiday days and sick days apart. Nothing is written back to Timetastic, so a wrong layout costs only a second run.
5. 05
### Add balances when asked
For a year-end or leave-year check, get\_annual\_summary adds allowance, carried forward, time in lieu and remaining per person to the same answer.

### What you get back

Example data

```
September 2026, 3 active users
Ana Torres: holiday 2, sick 1
Ben Okafor: sick 2
Priya Nair: no leave
Totals: holiday 2, sick 3
Left out: 1 declined request (Ben Okafor, Sep 28 to 30)
```

### Other ways to ask

- Every first Monday, send me last month's sick days per department.
- Compare September with August and name who was off most.
- List everyone with more than 2 sick days this month and nothing else.
- Give me the annual summary for 2026 with remaining allowance per person.

## What Timetastic allows, and what to know first

- Timetastic's Monthly summary is an Excel file with a Month worksheet of totals per active user by leave type and a Leave worksheet of all requests and bookings.
- The Leave worksheet of the Monthly and Annual summaries includes declined and cancelled requests.
- The Annual summary covers one year and holds bookings, deductions, allowances, carry-forward values and attachment links, with usage, brought and carried forward, remaining leave and time in lieu on its Allowances sheet.
- Timetastic keeps the Audit trail apart from these reports: it lists account changes since 20 May 2018 and does not include bookings.
- Sick leave can be exported for a year or a single month, and for one employee from USERS > three dots > Download data.

Every tool here only reads, so it can run on a schedule from n8n, Make, Zapier or cron without waiting for your OK.

## Frequently asked questions

### Is it safe to connect Timetastic to Cotlet?

Yes. You sign in to Timetastic yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Timetastic once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
