# Send Tradify deposit invoices when quotes are accepted

A customer accepts your quote online on Saturday night. On Monday the job gets booked, and the deposit invoice is only remembered when the materials are already on the van.

## Can Tradify do this on its own?

Tradify has no API or webhooks for accepted quotes (checked 12 Oct 2026). Inside the app, Copy to Invoice supports deposits as a percentage, a fixed amount or chosen line items, and a Remaining amount invoice later bills the balance. Each deposit is still raised by hand, quote by quote.

## How you do it in Tradify today

1. Find the quote the customer accepted on the Tradify Quotes page and open it.
2. Select Copy to Invoice; Tradify shows the button only on a quote that is approved and accepted.
3. Set the Invoice Type to Percentage of quote, Fixed amount, or Line items in quote to charge materials first, enter the value and select Okay.
4. Check the draft, then Approve and email it, with payment reminders switched on under Payment Options. Nothing in Tradify raises this invoice by itself, so it waits until someone opens the quote.

## How to send Tradify deposit invoices when quotes are accepted

### Look back far enough  
list\_quotes with status accepted filters on the quote date, not the day the customer said yes. The agent sets since several weeks back, so a quote written in September and accepted this week is not missed.

### Skip quotes someone already billed  
For each accepted quote the agent finds the customer's job with list\_jobs and reads it with get\_job. Any invoice already linked means a deposit or a full invoice went out by hand, and the quote is reported as skipped rather than billed twice.

### Apply your deposit rule  
The rule comes from your prompt: a percentage, a fixed sum above a threshold, or materials lines only. Small quotes under your threshold are left for one final invoice. For quotes with options, the deposit is worked out on the accepted total, since only the chosen options reach the invoice.
4. 04  
### Draft all, send as one batch  
create\_invoice\_from\_quote drafts each deposit, and the agent lists them with amounts before any email. send\_invoice waits for your OK by default; switch that off to let the weekly run send unattended. A customer with no email keeps a draft and goes on the list for you.

### Other ways to ask

- Take a fixed $500 deposit on accepted quotes over $3,000 and 30% on the rest.
- For the Harbour Cafe quote, invoice only the materials lines now.
- When J-0418 is complete, invoice the remaining amount of its quote and send it.
- Draft deposit invoices for this week's accepted quotes, but do not send them.

Before you automate it

## What Tradify allows, and what to know first

- A Tradify fixed-amount invoice from a quote is entered including tax, and the line description shows the amount and the quote it came from.
- Tradify tracks the remaining quote amount as the quote total minus what each linked invoice copied when it was created; later edits to an invoice do not change it.
- Invoicing a Tradify quote with options copies only the options the customer accepted.
- Copy to Invoice in Tradify can group quote sections and kits into single invoice lines, or split them into their individual line items.

send\_invoice asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.
