# Write a Tradify quote from your site notes

> Turn site notes into a Tradify draft quote with time, price list and misc lines on your own rates, then email it only when you say send.

You walk out of a site visit with hours, materials and a fan model typed into your phone. The Tradify quote still gets built line by line that evening, while the customer is collecting other quotes.

## Can Tradify do this on its own?

Tradify has no API for quotes (checked 12 Oct 2026). Inside the app, quote templates and kits cut the typing for repeat work, and New Quote from Template can refresh prices from your price list and billing rates. Nothing in Tradify turns free-text notes into line items.

## How you do it in Tradify today

1. Go to Quotes in Tradify and select New Quote, or the arrow beside it and New Quote from Template when a template is close.
2. Pick the customer, check the quote date and expiry date, choose tax inclusive or exclusive and add a description.
3. Add each line by type: Time with a billing rate for labour, Price list item for saved materials, Kit for bundles, Miscellaneous for anything not saved in Tradify.
4. Check the Preview tab, select Approve and email the quote. Every quantity and hour from your notes is retyped by hand, and a missed line is a cost you carry.

### Match the customer and any open job  
The agent finds the customer with list\_customers, then checks list\_jobs for an open job at that address. A match links the quote to the job, so later invoices and costs sit together. With no job the quote stands alone, and the job comes after acceptance.
2. 02  
### Turn each note into the right line type  
Hours become time lines on the billing rate you named, so apprentice hours are not priced at a tradesman's rate. Materials you stock become price list lines and keep your markup. A one-off part with a price in your notes becomes a misc line. A note with no price and no price list match is listed back to you, never invented.
3. 03  
### Keep upgrades out of the base price  
Notes marked as an option, such as a heated towel rail, stay off the base lines. The agent tells you to add them as an optional section on Tradify web, so the customer can tick them when accepting.
4. 04  
### Show the draft, send on your word  
create\_quote returns the subtotal, tax, total and expiry date, and the agent shows them with every line. Nothing reaches the customer at this point. send\_quote runs only when you say send, and waits for your OK by default; if the profile has no email address, the agent stops and asks for one.

### Other ways to ask

- Quote 14 Elm Rd like last week's bathroom rewire, but with 8 downlights instead of 6.
- Draft quotes from all three of tonight's site notes and send none until I check them in the morning.
- Quote the hot water job tax inclusive, with a 14-day expiry.

Before you automate it

## What Tradify allows, and what to know first

- Approve takes a Tradify quote out of draft so the customer can accept or decline it online; the expiry date defaults to the quote date plus the Default Expiry Days setting.
- Optional sections in a Tradify quote are left out of the total until the customer picks them when accepting online, and they cannot be created or edited in the Tradify mobile app.
- Tradify quote reminders, once switched on under Settings > Quotes, go out 7 and 14 days after sending and 3 days before expiry, and stop when the quote is accepted, declined or expires.
- New Quote from Template in Tradify can update template lines to the latest price list and billing rate prices, but leaves Miscellaneous lines and descriptions unchanged.

send\_quote asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.
