# Add VaultRE appraisals from new owner leads

> Turn an owner lead into a VaultRE appraisal: owner contact, property, appraiser and calendar slot, with a duplicate check first.

Source: https://cotlet.dev/integrations/vaultre-api-mcp-server/add-appraisal-from-lead

A would-be seller phones the office, and the appraisal still has to be keyed into the Appraisal Wizard: owner, address, appraiser, date and a note of where the lead came from.

Cotlet does it in your own VaultRE account with search\_contacts, search\_properties, add\_appraisal and add\_note, called by your AI agent, an n8n workflow or a script.

## Can VaultRE do this on its own?

VaultRE's Zapier app cannot create an appraisal, a property or a calendar event (checked 22 Oct 2026), and the API is open only to integrators MRI approves. The Appraisal Wizard in the app is the route the help center describes.

## How you do it in VaultRE today

1. Go to Properties > Appraisal Wizard and enter the owner details. Vault checks for duplicate contacts and, on a match, you attach the existing contact instead of creating a new one.
2. For someone already in the database, open their profile, click Options and choose Attach Property. The owner details prefill from the contact card.
3. If you use Cotality, National Property Data or Pricefinder, search property data to fill the card. Otherwise enter the property type (Sale or Lease), address and appraisal details by hand.
4. Assign the user doing the appraisal and set the date and time. Vault adds the appointment to that user's calendar. For a follow-up, tick the email or SMS reminder and pick the sender and template.
5. Set access permissions, Everyone for open databases or named staff for restricted ones, and click Add Appraisal. If the owner does not go ahead, open the property and click Withdrawn.

## How to add VaultRE appraisals from new owner leads

Prompt

```
Priya Nair (contact 51377) wants an appraisal of 31 Banksia Avenue, Dulwich Hill for sale. Book Sam for Tuesday at 9:00, add the appraisal and note that she found us through a letterbox drop.
```

1. 01
### Match the owner
search\_contacts by email and mobile finds the owner. A match becomes the owner on the appraisal. With no match, the agent runs add\_contact first, after your OK, and uses the new contact\_id.
2. 02
### Check the address
search\_properties by address finds a card that already exists, for example from an earlier appraisal that was withdrawn. The agent shows it to you instead of adding a second card, because Vault runs its own duplicate property check on the address too.
3. 03
### Add the appraisal
add\_appraisal runs once with owner, property type, address, appraiser and time, after your OK. Vault puts the appointment in the appraiser's calendar. The call sets no email or SMS reminder, so a follow-up still needs the tick in the wizard.
4. 04
### Leave the context on the owner
add\_note records where the lead came from and what the owner said on the owner's contact, so the appraiser has it before the visit. The note is not read-only, so staff can still edit it.

### What you get back

Example data

```
Appraisal added for sale: 31 Banksia Avenue, Dulwich Hill
Owner: Priya Nair (existing contact 51377)
Appraiser: Sam, Tuesday 27 Oct 2026, 9:00, in Sam's calendar
Note added: found us through a letterbox drop
```

### Other ways to ask

- Add appraisals for every owner enquiry from this week who gave an address, and list the ones without an address.
- Every Monday, list appraisals with no date in the calendar and tell me whose they are.
- Add a lease appraisal for this landlord and book the property manager, not a sales agent.

## What VaultRE allows, and what to know first

- Vault's Appraisal Wizard runs a duplicate contact check and a duplicate property check automatically.
- Withdrawing an appraisal sets the property back to Not Currently Listed. It can be converted back to an appraisal or listing later, and the history is under Other > History.
- Cotality, National Property Data and Pricefinder integrations pull the property class, address and other particulars into the card. The agent does not, so add\_appraisal takes the address as given.
- Changing a property's Status to Listing does not publish it to portals. Publishing happens only when you select portals and save.

add\_appraisal and add\_note ask for your OK by default. To run it weekly without you, switch confirmation off for those tools in your dashboard.

```
Example response
## For AI agents: sign your user up
Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.
1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.
One call creates the account and sends the access request; we email the user when access is granted.
