# Book VaultRE scheduled viewings with AI

> Book scheduled viewings in VaultRE for the buyer you name: property, attendee, agent calendar and accompanied flag, without double entry.

Source: https://cotlet.dev/integrations/vaultre-api-mcp-server/book-property-viewings

A buyer replies that Saturday at 10:30 works, and an agent then opens the calendar, adds a scheduled viewing, finds the property, finds or adds the attendee and ticks the status boxes.

Cotlet does it in your own VaultRE account with search\_properties, search\_contacts, add\_contact, list\_calendar\_events and schedule\_viewing, called by your AI agent, an n8n workflow or a script.

## Can VaultRE do this on its own?

Vault has no automation that books a viewing from a message, and VaultRE's Zapier app has no calendar action (checked 22 Oct 2026): it has one action, Create Enquiry in Holding Area, and one trigger, New Property Listing (Sales). The API is open only to integrators MRI approves.

## How you do it in VaultRE today

1. Go to Calendar and click the date tile. In Add Event, change Type from Event to Scheduled Viewing.
2. Set the Duration, search the database for the Property, and add Notes. Set View/Read and Edit access; Edit access can be ticked for Everyone or limited to staff or teams.
3. Tick the accompanied and confirmed boxes where they apply, then add the attendee in the Attendee tab, an existing contact or a new one.
4. If a duplicate of the attendee exists, click View Duplicates and choose Use on the right one.
5. The event lands in your own calendar. To book it in another agent's, you need Global Calendar access, or Settings (Module Access) ticked in User Management.

## How to book VaultRE scheduled viewings with AI

Prompt

```
Book a scheduled viewing at 14 Wattle Street, Marrickville for Priya Nair on Saturday at 10:30 in Sam's calendar. Check Sam is free first, add Priya as a contact if she is not in VaultRE, and mark it accompanied.
```

1. 01
### Find the property
search\_properties by address and type returns the property\_id and the agent on the card. When a sale card and a lease card share the address, the agent asks which one the buyer means.
2. 02
### Find or add the attendee
search\_contacts by email or mobile returns the contact\_id. Where nothing matches, the agent runs add\_contact first, after your OK, so a viewing is never booked against a guess.
3. 03
### Check the diary
list\_calendar\_events for the agent's calendar on that day shows clashes. If the slot is taken, nothing is booked and the agent offers the nearest free slot.
4. 04
### Book it
schedule\_viewing creates the event with type Scheduled Viewing on the chosen calendar, attaches the attendee and sets accompanied. It leaves confirmed off until the buyer confirms, and it sends no email or SMS.
5. 05
### Report and hand over
The agent returns each booking with date, address and attendee. Confirming, and sending Vault's email or SMS template with it, stays with the Confirmed toggle on the event in Vault.

### What you get back

Example data

```
Booked 2 scheduled viewings for Saturday in Sam's calendar:
- 10:30 Priya Nair, 14 Wattle Street, Marrickville (accompanied)
- 11:15 Daniel Kim, 8 Carr Lane, Dulwich Hill
Not booked 1: Mei Chen, Sam already has an event at 12:00
```

### Other ways to ask

- Every Friday, book viewings for the buyers who replied "yes" to Saturday slots and list the rest for me.
- Show me every scheduled viewing in Sam's calendar next week with the attendee and whether it is confirmed.
- Book the same viewing for the leasing agent's calendar and note that the tenant needs a key collected.

## What VaultRE allows, and what to know first

- The Type options in Vault's Add Event screen are Event, Appraisal and Scheduled Viewing.
- Vault manages scheduled viewings in the web app and in the Vault mobile app.
- Marking an event Cancelled or Confirmed in Vault can send an email or SMS template to the contacts attached to it, and both toggles can be switched back.
- Vault's calendar can be integrated with Office 365, Google or G Suite.

add\_contact and schedule\_viewing ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

## Call schedule\_viewing from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/vaultre/properties/22810/viewing/schedule \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"contact_id":"51377","starts_at":"2026-10-24T10:30:00+11:00","ends_at":"2026-10-24T11:00:00+11:00","calendar_user":"sam@harbourlane.example","accompanied":true}'
```

Example response

```
{
"event_id": "evt_90331",
"type": "scheduled_viewing",
"property": "14 Wattle Street, Marrickville NSW 2204",
"attendee": "Priya Nair",
"calendar_user": "sam@harbourlane.example",
"starts_at": "2026-10-24T10:30:00+11:00",
"ends_at": "2026-10-24T11:00:00+11:00",
"accompanied": true,
"confirmed": false
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is vaultre\_write → schedule\_viewing. Example data.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
