# Process VaultRE Holding Area enquiries with AI

> Review each VaultRE Holding Area enquiry, match it to an existing contact, add it with its buyer requirement and ignore spam. Runs daily.

Source: https://cotlet.dev/integrations/vaultre-api-mcp-server/process-property-enquiries

Leads from realestate.com.au or domain.com.au land in the Holding Area, and none of them reaches your database until someone opens it, checks for a duplicate and clicks Create Enquiry.

Cotlet does it in your own VaultRE account with list\_enquiries, search\_contacts, process\_enquiry and ignore\_enquiry, called by your AI agent, an n8n workflow or a script.

## Can VaultRE do this on its own?

VaultRE's Zapier app has one action, Create Enquiry in Holding Area, which pushes a lead in, and one trigger, New Property Listing (Sales) (checked 22 Oct 2026). Nothing in Zapier reviews, processes or ignores an enquiry, and the VaultRE API is open only to integrators MRI approves. The one native shortcut is the Office Automation switch, which adds every enquiry without review, spam included.

## How you do it in VaultRE today

1. Go to Prospecting > Enquiries, or Contacts > Enquiry/Holding Area. Filter by Status (Awaiting review, Processed or Ignored), Department, Source, Agent or Property, then click Apply Filters.
2. Click Review beside an enquiry and fix the contact details, Categories, Marketing contacts and Access settings. Tick or untick Buyer Requirement.
3. If Vault finds a likely match by phone number or email address, it preselects that contact. Choose Create new contact only when the enquiry is a different person, then click Create Contact & Enquiry.
4. Enquiries cannot be added in bulk, so each one is processed on its own. Spam is cleared with Ignore Enquiry, and Vault deletes ignored enquiries permanently after 3 months.
5. Office Automation can switch the Holding Area off so every enquiry goes straight in. Vault leaves that off by default, because manual review filters spam and gives better duplicate checks.

## How to process VaultRE Holding Area enquiries with AI

Prompt

```
Go through the VaultRE Holding Area enquiries awaiting review. Add real buyers to their existing contact or a new one with a buyer requirement, ignore spam, and leave anything unclear for me with a one-line reason.
```

1. 01
### Read the whole queue
list\_enquiries returns the enquiries with status awaiting\_review, each with its source, message, the property asked about and the duplicate Vault suggests. The agent reads the full list first, so a person who enquired on two portals is one decision, not two.
2. 02
### Check the suggested match
Where Vault suggests an existing contact, the agent confirms it with search\_contacts on the email and mobile. A matching phone number with a different name is treated as a new person, the same call Vault asks you to make.
3. 03
### Sort into three piles
Real buyers and tenants go to process, spam (an empty message, random text, only a link) goes to ignore, and anything unclear, such as an enquiry about a property no longer listed, stays in the queue with a note for you.
4. 04
### Process with the requirement
process\_enquiry adds each real enquiry to the matched contact, or creates a new one when the person is different. With create\_buyer\_requirement on, Vault links the requirement to the property they asked about. Each call waits for your OK until you switch confirmation off for it.
5. 05
### Ignore only after your OK
ignore\_enquiry runs for the spam pile only. Vault deletes ignored enquiries after 3 months and Cotlet has no tool to bring one back, so the agent lists each one with the reason before it is ignored.

### What you get back

Example data

```
Enquiries awaiting review: 9
Added 6 (4 to an existing contact, 2 new), buyer requirement set on 5
Ignored 1 (message was only a link)
Left for you 2:
- Tom Gallagher: asks about a property that is no longer listed
- Mei Chen: same mobile as a contact with another name
```

### Other ways to ask

- Every 30 minutes on weekdays, process new Sales enquiries from realestate.com.au and list the rest for me.
- Process leasing enquiries only and do not create buyer requirements.
- Show me the enquiries I ignored in the last 3 months, in case a real one was dropped.

## What VaultRE allows, and what to know first

- Vault accepts enquiries from realestate.com.au, domain.com.au, trademe.co.nz, reiwa.com.au, realestate.co.nz, your office website and QR code open inspection check-ins.
- Vault still sends the portal's own enquiry email after it adds the lead.
- Settings > Holding Area sets a default source of enquiry for each portal, and it applies to enquiries from then on, not to past ones.
- When an enquiry is added, Vault writes a note on the contact with the enquiry date, source and message, and the enquiry shows in the Owner Feedback report.

process\_enquiry and ignore\_enquiry ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

## Call process\_enquiry from a script

curl

```
curl -X POST https://cotlet.dev/api/v1/vaultre/enquiries/enq_80412/process \
  -H "Authorization: Bearer $COTLET_API_KEY" \
  -H "Content-Type: application/json" \
  -d '{"contact_id":"51377","create_buyer_requirement":true}'
```

Example response

```
{
"enquiry_id": "enq_80412",
"status": "processed",
"contact_id": "51377",
"contact_created": false,
"note_added": true,
"buyer_requirement_created": true
}
```

MCP: add https://cotlet.dev/mcp/v1 with the same key; the call is vaultre\_write → process\_enquiry. Example data.

## Frequently asked questions

### Does the agent also add enquiries in bulk like Office Automation?

No. Vault's own screen processes enquiries one at a time, and so does the agent, which is what lets it check each duplicate and drop spam first.

### Is it safe to connect VaultRE to Cotlet?

Yes. You sign in to VaultRE yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get VaultRE once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
