# Shortlist Vincere candidates for a job with AI

> Shortlist Vincere candidates from a talent pool to an open job by your own rule, skip people already on it and keep edge cases for yourself.

Source: https://cotlet.dev/integrations/vincere-api-mcp-server/shortlist-candidates-for-a-job

A new job opens, and a recruiter spends the morning opening profiles from a talent pool, deciding who fits, and ticking Shortlist on each one.

Cotlet does it in your own Vincere account with list\_jobs, get\_job, list\_candidates, get\_candidate, shortlist\_candidates and list\_job\_applications, called by your AI agent, an n8n workflow or a script.

## Can Vincere do this on its own?

Vincere has no shortlist action in its Zapier app and issues API keys only to partners (checked 22 Oct 2026). Shortlisting is done by hand in the app, one table selection at a time, and nothing in Vincere shortlists by a rule on the candidate profile.

## How you do it in Vincere today

1. In Candidates table view, the recruiter ticks the candidates, then clicks Shortlist in the actions bar.
2. In the dialog the recruiter picks one or more jobs from the open-jobs list, using the filter icon and Jobs > My Jobs to cut the list, then clicks "Shortlist candidate(s) to Job(s)".
3. From a Candidate Quick View or a full profile, the same step is Actions (top right) > Shortlist.
4. Another way starts in the job profile: open the Pending Application stage and change the candidate's stage to Shortlisted.
5. To check the result, the recruiter opens the job profile and looks for the candidate in the Shortlisted stage, or for the tick marks Vincere shows.

## How to shortlist Vincere candidates for a job with AI

Prompt

```
For the open job "Senior Java Developer" in Vincere, find candidates in the Java talent pool, skip anyone already on that job, and shortlist the ones whose current title is a developer role. List the rest for me.
```

1. 01
### Confirm the job can take people
Your agent calls list\_jobs with status open, then get\_job for the one you named. It reads the Sourcing close date and stops if the date has passed, because Vincere does not offer a closed or full job in the shortlist dialog.
2. 02
### Pull the pool, skip who is on the job
list\_candidates returns the Talent Pool you name, page by page. The agent drops anyone list\_job\_applications already shows on this job, so a person is never added twice.
3. 03
### Read each profile against your rule
get\_candidate gives the current job title, company and applications of each remaining candidate. The agent applies the rule from your prompt, such as "current title is a developer role", and quotes the line it relied on.
4. 04
### Shortlist the matches
shortlist\_candidates runs once for the matches, in one call. It waits for your OK by default, and it sends nothing to the candidate or a client.
5. 05
### Check it saved
Vincere can show a confirmation while the association is not saved. The agent reads the Shortlisted stage again with list\_job\_applications and lists anyone who is missing.

### What you get back

Example data

```
Job: Senior Java Developer (Brightline Tech), open, sourcing closes 30 Nov
Candidates in the Java talent pool: 18
Already on the job: 5
Shortlisted 9, e.g. Priya Nair: "Java Developer, Northwind Systems"
Left for you 4:
- Tomas Wu: "Project Manager"
- Lena Ortiz: no job title on the profile
```

### Other ways to ask

- Every morning, shortlist new candidates added to the Java talent pool to my open Java jobs and list the rest for me.
- Show which of my open jobs have no shortlisted candidates yet, and shortlist nobody.
- Shortlist this one candidate to all my open jobs in London and tell me which jobs refused.

## What Vincere allows, and what to know first

- Vincere lets you shortlist candidates to open jobs only, and a job is missing from the dialog when it is closed, has no headcount left or its Sourcing closed date has passed.
- Vincere allows 1,000 total position associations per candidate, counting shortlisted, floated and applied positions, and past that cap shortlisting may fail silently with a confirmation on screen.
- Vincere lets you select up to 300 candidate records at once, so a larger pool has to be shortlisted in batches.
- Vincere's candidate and job management settings decide which candidates can move to Shortlisted, and restrictive settings grey out the checkboxes.
- Since Vincere v19.8, applications from Engage and Portals land in an Applications stage before Shortlisted, not in Shortlisted itself.

shortlist\_candidates asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

## Frequently asked questions

### Is it safe to connect Vincere to Cotlet?

Yes. You sign in to Vincere yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Vincere once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.

## For AI agents: sign your user up

Is your user asking you to sign them up for Cotlet? You can do it for them, no account or key needed.

1. Read the fields and their allowed values: GET https://cotlet.dev/api/v1/access-requests
2. Ask the user for each value: email, apps, what you will do with them. If they leave the password to you, generate a strong one and show it to them.
3. Show the user what you will send, then POST it as JSON to https://cotlet.dev/api/v1/access-requests.

One call creates the account and sends the access request; we email the user when access is granted.
