Check expiring pet vaccinations before DaySmart appointments

The vaccine warning in DaySmart shows up when someone opens the appointment, which is often the morning the dog arrives. Owners need a few days to get a certificate from the vet, so the check has to happen a week or two earlier.

Cotlet does it in your own DaySmart account with list_vaccination_alerts, list_appointments, get_client and add_vaccination, called by your AI agent, an n8n workflow or a script.

Can DaySmart do this on its own?

DaySmart Pet has no API for vaccination records (checked 12 Oct 2026). Natively it shows an alert 3 months before expiry on the appointment, the scheduling pop-up and the pet profile, and offers three Pet reports: "Pet Vaccination Status for Upcoming Appointments", "Pet Vaccinations By Expiration Date" and "Pets with Expired Vaccinations". The Reminders & Notifications guide lists no vaccination reminder to owners. The gap is the weekly run, the follow-up list and typing new dates back in.

By hand

How you do it in DaySmart today

  1. Open More > Reports in the DaySmart Pet cloud website, pick the Pet category and run "Pet Vaccination Status for Upcoming Appointments" or "Pet Vaccinations By Expiration Date" for the coming weeks.
  2. Click Export to download the CSV, or Print. Both vaccination reports already carry the owner's contact information, so the work is sorting the rows by visit date and deciding who to call first.
  3. Call or text each owner, and when the vet record arrives, open Clients/Pets, the Pet Info tab, then Medical Information, tick the vaccine, set the new Expiration and use + Add Document for the certificate.
  4. Alternatively, open the appointment in the Appointment Book, click Update next to the vaccine alert, enter the new date and click Update Vaccinations, then Save.
  5. The report is a snapshot that someone must remember to run every week, and new bookings made after the export are not on it.

With an agent

How to check expiring pet vaccinations before DaySmart appointments

Prompt

Every Monday, list the DaySmart pets booked in the next 14 days whose rabies or Bordetella expires before their visit, grouped by day, with the owner's phone number.
  1. 01

    Match alerts to real visits

The agent calls list_vaccination_alerts with upcoming_only and a cutoff at the end of your window, then checks each pet against list_appointments. Only vaccines that lapse on or before the visit date are urgent; a rabies shot that expires two weeks after the groom goes in a separate "soon" group.

  2. 02

    Filter to what you require

It keeps the vaccines named in your prompt, for example Rabies and Bordetella, and ignores the rest. A multi-pet household gets one line per owner, not one per pet, so the front desk makes one call.

  3. 03

    Add the call details

For each owner, get_client supplies the phone, email and any client note such as "call after 5pm". The agent sorts the list by appointment date, nearest first.

  4. 04

    Record new dates you forward

When you paste a vet certificate or type "Max got rabies, good until 30 Sep 2027", the agent writes it with add_vaccination using the vaccine name exactly as it is on your Master Vaccination list. If the name does not match the list, it asks instead of guessing.

  5. 05

    Say what it cannot see

A pet with no record at all for a required vaccine has no expiry date, so it never reaches the alert list. The agent says so in every report instead of claiming the week is clear.

What you get back

Example data

Week of 19 Oct: 4 owners to contact
Mon 19: Max (Yourname Client, +1 555 010 0148), Rabies expired 2 Oct, Full Groom 10am
Tue 20: Poppy and Bean (Dana Lee), Bordetella expires 18 Oct, Bath & Brush 1pm
Thu 22: Luna (Kevin Park), Rabies expires 21 Oct, note says call after 5pm
Soon, after the visit: Teddy (Maria Ortiz), Rabies expires 3 Nov
Recorded: Biscuit, Rabies, new expiration 30 Sep 2027
Not checked: pets with no rabies record at all

Other ways to ask

  • Which DaySmart pets coming in tomorrow have an expired vaccine? Send me just the names and times.
  • Each Friday, list pets with vaccines expiring in the next 30 days that have no future appointment, so we can remind them before they book.
  • Max's owner sent the new certificate: rabies until 30 Sep 2027, Bordetella until 15 Apr 2027. Update his record.

Before you automate it

What DaySmart allows, and what to know first

  • The DaySmart Pet Master Vaccination List is set up only on the cloud website under More > Vaccinations, where a vaccine can be marked "This Vaccination is Required" for chosen services or service categories.
  • DaySmart Pet starts warning 3 months before a vaccination expires, on the appointment, in the scheduling pop-up for required vaccines and on the pet profile.
  • A DaySmart vaccination that is linked to pet records cannot be deleted, only archived, and its species cannot be changed after it is assigned.
  • For a medically exempt pet, DaySmart's guide says to leave the vaccine unrecorded, because alerts and expiration notifications only fire for a vaccine that has a record on the pet, even when the booked service requires it.
  • DaySmart's Reminders & Notifications guide covers appointment reminders, confirmations and the Scheduled, Changed and Canceled messages; it names no vaccination expiry message to owners (checked 12 Oct 2026).

add_vaccination changes only your own DaySmart data and reach no one else, so it runs without asking first.

Frequently asked questions

Does DaySmart stop a client from booking online when a vaccine has expired?

DaySmart's vaccination guide only says an alert appears when a required vaccine is missing or expired while an appointment is booked or opened. It does not describe blocking the booking, so check your own Online Booking settings (checked 12 Oct 2026).
