Record check and cash rent payments in DoorLoop

Rent paid by paper check, cash or Zelle never passes through the DoorLoop tenant portal, so the lease shows it as unpaid until someone enters it. In the first days of the month that means a stack of checks, each matched to a unit and typed into Receive Payment before the late fee grace period runs out.

Cotlet does it in your own DoorLoop account with list_leases, get_lease_transactions and record_lease_payment, called by your AI agent, an n8n workflow or a script.

Can DoorLoop do this on its own?

DoorLoop logs payments made through the tenant portal on its own, but a check, cash or Zelle payment has to be entered with Receive Payment in the app (checked 12 Oct 2026). DoorLoop's API reference documents Create a Lease Payment, but the API is listed on Premium only and needs DoorLoop's approval, and the Premium Zapier app has a New Lease Payment trigger but no action that records a payment. We found no DoorLoop feature that takes a list of received checks and enters them for you.

By hand

How you do it in DoorLoop today

  1. Click Create New at the top of the DoorLoop main menu and choose Receive Payment under Transactions.
  2. In the DoorLoop Receive Payment window, pick the lease under Select Lease, set the Date, and check that Received From shows the right tenant and Deposit Account the property's operating account.
  3. Enter Amount Received and a Payment Method such as Check; choosing Check lets you record an optional Check Number, and Add Memo is optional.
  4. Decide on the three DoorLoop toggles that are on by default (Automatically Apply Payments, Automatically Deposit Funds, Email Payment Receipt to the Tenant), then click Save and confirm the payment on the lease's Transactions tab.
  5. A single check covering two leases goes through Switch to Bulk Receive Payments instead, with an amount per lease. Every check repeats the same screens, and a payment saved on the wrong lease or entered twice only surfaces later as a wrong balance or a late fee.

With an agent

How to record check and cash rent payments in DoorLoop

Prompt

Record today's rent checks in DoorLoop: Unit 2B Marcus Hale $1,450 check 1042, Unit 3A Priya Shah $1,500 cash, Unit 6 Leo Brandt $1,640 by Zelle. Skip anything already entered and tell me what is still owed.
  1. 01

Match each payment to one lease

The agent searches list_leases with the unit or the name written on the check. A name that fits two active leases, or none, stops that one payment and goes back to you with the candidates; the agent never picks a lease because the spelling looks close.

  2. 02

    Read the ledger before writing

get_lease_transactions shows the open charges and the latest payments on the lease. A payment with the same amount and check number already there is skipped and reported as a likely duplicate, which covers checks a colleague entered the day before.

  3. 03

    Decide what the amount means

An amount equal to the open balance is recorded as is. A smaller amount is recorded and the remainder is named in the report. A larger amount waits for your OK, because DoorLoop keeps the extra as a credit against next month.

  4. 04

Record it with the check number

record_lease_payment gets the date the money arrived, the method as the tenant paid (check, cash, or EFT for Zelle) and the check number as the reference. Each call waits for your OK unless you switched confirmation off for this tool.

  5. 05

Split shared checks, then total the run

A tenant who rents an apartment and a parking space may pay both with one check. The agent asks how to split it and records one payment per lease. The report ends with the total and the check numbers, so the bank deposit you enter in DoorLoop matches the slip.

What you get back

Example data

Recorded 3 payments dated 2 Oct 2026, total $4,590.00, after your OK.
Unit 2B, Marcus Hale: $1,450.00, check 1042. October rent paid, balance $0.00.
Unit 3A, Priya Shah: $1,500.00 cash. $100.00 still open on October rent.
Unit 6, Leo Brandt: $1,640.00 Zelle, recorded as EFT. Balance $0.00.
Unit 1C, Ana Ruiz: check 2210 for $1,300.00 was already on the lease since 30 Sep. Skipped.
"J. Moreno", check 518 for $1,200.00: no active lease matches. Which unit is it for?

Other ways to ask

  • Here are this week's checks from the deposit slip with unit, name, amount and check number. Record each one and list anything you could not match.
  • Record $600 cash from Priya Shah in Unit 3A as a partial payment and tell me what she still owes for October.
  • Dana Reed paid one check of $1,750 for Unit 4 and parking space P2. Split it across both leases.
  • Every evening, record the Zelle payments from the bank alert list I paste as EFT on the matching DoorLoop leases.

Before you automate it

What DoorLoop allows, and what to know first

  • DoorLoop records tenant portal payments automatically, so Receive Payment is meant for money received outside DoorLoop: checks, cash, Venmo, Cash App or Zelle.
  • DoorLoop's Payment Method field is informational only, and its help center says to choose EFT for a Zelle payment.
  • With Automatically Apply Payments on, DoorLoop pays the oldest open charge first, and money paid when nothing is due builds up a credit that DoorLoop applies to future charges automatically.
  • DoorLoop tells you not to enter tenant payments as bank deposits first. A payment saved without Automatically Deposit Funds stays in Undeposited Funds until you record the bank deposit.
  • Email Payment Receipt to the Tenant is on by default in DoorLoop's Receive Payment window, and it only reaches tenants who have an email address on file.

record_lease_payment asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions

Should the bank deposit carry the payment date?

DoorLoop's Automatically Deposit Funds option dates the deposit on the payment date, and its help center warns this can differ from the real bank date and cause Plaid matching and reconciliation issues. DoorLoop recommends recording the deposit on the day the money actually reached the bank; the agent's run total helps you match that deposit.
