Everfit automation · runs weekly
Check in on inactive Everfit clients who stopped logging workouts
Monday morning, you want to know which Everfit clients went quiet last week, before a missed week becomes a cancelled subscription. The Client List shows when someone last opened the app, not whether they trained.
Cotlet does it in your own Everfit account with list_clients, get_client, list_workouts, get_conversation and send_message, called by your AI agent, an n8n workflow or a script.

Can Everfit do this on its own?
Everfit's Check-in Dashboard (Beta, web app, checked 12 Oct 2026) flags No activity and At Risk clients, and Olly can draft a reach-out for a client who became At Risk this week, which you open, edit and send row by row. The help articles we read describe no scheduled run and no way to approve a batch of check-ins in one pass. Everfit's API guide lists no endpoint for workout results or Inbox messages, and the Zapier plugin has none either.
By hand
How you do it in Everfit today
- Open the Client List under All Clients and expand the data column options to show Last activity. Everfit updates Last activity whenever a client logs into the app, so a client who opens the app daily and skips every workout still looks active.
- Open each client and read the Training tab of the client overview: Number of workouts tracked in the last 7 days, and Next week's workout assignments.
- If your workspace has the Check-in Dashboard (Beta), open it from the left navigation menu and check the At Risk and No activity cards. At Risk means training consistency below 60% by default, adjustable under Settings > Advanced Settings, and No activity only lists clients with no activity at all in the last 14 days.
- Type a message in the client's row or in Inbox, or click Write with AI and let Olly draft one, then edit it and send. Everfit handles this one client at a time.
- Repeat for every client on the list. The easiest ones to get wrong are clients whose program ended: they show zero tracked workouts because nothing is on their calendar, and a "where are you?" message is the wrong one for them.

How to check in on inactive Everfit clients who stopped logging workouts
Prompt
Every Monday, find my active Everfit clients who had workouts planned last week but tracked none, read their notes, and draft a short personal check-in for each. Show me the drafts before anything is sent. - 01
Build this week's roster
The agent pulls active clients with list_clients and leaves out archived ones and any group you name as on a break, such as "Injured" or "Travelling". In a team workspace it filters by your coach_id, so it only touches your own clients.
- 02
Tell quiet clients from unprogrammed ones
get_client gives the tracked count for the last 7 days and next week's assignments. Zero tracked with sessions planned means quiet. Zero tracked with nothing planned goes on a separate list, because that client most likely needs a new program, not a nudge.
- 03
Read the calendar and the notes before writing
For each quiet client, list_workouts over the last 14 days shows whether this is the first missed week or the second in a row, and which sessions were skipped. Goals, limitations and private notes from get_client shape the message: a client with a knee note gets asked about the knee, not about motivation.
- 04
Avoid a second identical nudge
get_conversation shows whether you already checked in last week and whether the client answered. A client who replied gets no new message. A client who stayed silent gets a shorter second note that offers a lighter week instead of repeating the first one.
- 05
Show the batch, send only what you approve
Each draft names the skipped sessions and asks one question the client can answer in a line. send_message waits for your OK per client by default, so you can edit a line or drop a client you would rather call. If Everfit refuses a send because Messages is off for that client, the agent lists the name for a call or email.
What you get back
Example data
Week of 5 to 11 Oct: 34 active clients checked
Quiet (workouts planned, none tracked): 4
Maya Brooks: missed Lower Body A and Upper Body A, second quiet week, no reply to last Monday's note
Jon Patel: missed 3 sessions, your note says a new job started 1 Oct
Lina Ortiz, Chris Hale: first quiet week
Drafts waiting for your OK: 4
Nothing planned next week: Tom Reyes, Ana Silva (program ended 4 Oct) Other ways to ask
- Every Monday at 7 am, list clients who tracked fewer than 2 of their planned workouts last week and draft check-ins, but do not send anything.
- Check only my online clients in the 12-week Fat Loss group and skip anyone with an injury in their limitations.
- Which clients have been quiet for two weeks in a row? I want to call them myself.
- Find clients with nothing scheduled next week so I can assign their next program.
Before you automate it
What Everfit allows, and what to know first
- Everfit updates the Last activity value in the Client List whenever a client logs into the app, so it measures app opens, not completed workouts.
- The Training tab of the Everfit client overview counts workouts tracked in the last 7 and 30 days and lists next week's workout assignments, which is what separates a quiet client from one with an empty calendar.
- The Everfit Check-in Dashboard is a Beta feature of the web app: each coach accepts a Beta Agreement on first use, at least the Training or Nutrition signal must stay on, and threshold changes apply only to that coach's own clients.
- Olly on the Everfit Check-in Dashboard offers Draft a reach out only for clients who became At Risk this week, and each draft still needs the coach to check Send or ask Olly to send it.
send_message asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.
