Follow up on stale Houzz Pro leads

On Monday morning the Houzz Pro Leads list holds leads spread across Followed Up, Connected and Proposal/Estimate Sent, and nothing on the screen says which of them went quiet after the last call or estimate.

Cotlet does it in your own Houzz Pro account with list_leads, get_lead and create_task, called by your AI agent, an n8n workflow or a script.

Official options

Can Houzz Pro do this on its own?

Houzz Pro has no API or Zapier trigger for reading leads (checked 11 Oct 2026). Inside the app, document automations on estimates and proposals, which Houzz says also apply to leads, can create a task when the document is overdue and email the client a reminder to review it (checked 12 Oct 2026). The help center lists no rule for a lead that has no estimate or proposal yet, so leads in Followed Up, Connected or Meeting Scheduled are left to whoever checks the list.

By hand

How you do it in Houzz Pro today

  1. Click the Leads icon in the left navigation to open the full Houzz Pro Leads list, with the stage panel on the left showing how many leads sit in each stage.
  2. Pick a stage such as Proposal/Estimate Sent and read the Last Activity column lead by lead to spot the ones nobody has touched in a while.
  3. Open each quiet lead and check Tasks in the left menu of the lead page, so a second reminder does not land on a call someone already planned.
  4. Click Add Task, set a due date, and choose the person from the assignee dropdown on the Team tab.
  5. Repeat the same pass for every stage you use. A lead in Connected or Meeting Scheduled gets no automatic nudge in Houzz Pro, so the ones that stall there are the easiest to lose.

With an agent

How to follow up on stale Houzz Pro leads

Prompt

Find Houzz Pro leads in Followed Up, Connected, Meeting Scheduled or Proposal/Estimate Sent with no activity for 10 days. Skip any that already have an open task, and create a follow-up task for Sam Rivera due tomorrow for the rest.
  1. 01

    Read the stages you chase

The agent calls list_leads once per stage named in the prompt and follows next_cursor until each stage is read to the end. New and Won are left out: New leads still wait for a first reply, and Won leads are already projects.

  2. 02

    Measure the silence

It compares last_activity with the threshold from your prompt, 10 days here, and keeps only the leads older than that. A separate threshold per stage works too, for example 5 days after an estimate and 14 days in Connected.

  3. 03

    Respect what is already planned

For every quiet lead it opens get_lead and looks at the open tasks. A lead with a task due in the future is skipped, because someone already owns the next step. A lead whose open task is overdue is reported by name instead of getting a second task.

  4. 04

Write a task worth acting on

create_task gets a title that names the client, the stage and the date of the last contact, such as "Call Dana Miller: estimate sent Sep 24, no reply". The description carries the project type and estimated revenue, so the call starts with context. The assignee and due date come from your prompt.

  5. 05

    Leave stages and clients alone

The agent never moves a lead to another stage and never messages a client. A lead with neither email nor phone on file goes on a separate list, because a task to call it would lead nowhere.

What you get back

Example data

Leads read: 64 in Followed Up, Connected, Meeting Scheduled and Proposal/Estimate Sent
Quiet for 10+ days: 9
Follow-up tasks created for Sam Rivera, due Oct 13: 6
Skipped, task already planned: 2 (Patel Bath, Greene Basement)
No email or phone on file: 1 (Lakeview ADU, phone call lead)

Other ways to ask

  • Every Monday at 8, flag Proposal/Estimate Sent leads quiet for 5 days and Connected leads quiet for 14 days, and assign the tasks to Sam.
  • List leads tagged Spring with no activity in three weeks, without creating any tasks.
  • Create follow-up tasks only for quiet leads with estimated revenue over $20,000 and assign them to me.

Before you automate it

What Houzz Pro allows, and what to know first

  • Houzz Pro moves a lead between default stages by itself: your reply sets Followed Up, a reply from the client sets Connected, a meeting sets Meeting Scheduled, and sharing a proposal or estimate sets Proposal/Estimate Sent.
  • Once someone changes a Houzz Pro lead stage by hand, that lead stops updating its stage automatically, and custom stages never update on their own.
  • Houzz Pro allows up to 12 custom lead stages with names up to 25 characters, and New and Won are the two default stages that cannot be hidden.
  • A Houzz Pro task emails its assignee when it is created, edited or completed; a task assigned to a client reaches the client dashboard only when it is set to Shared.
  • Houzz Pro shows tasks due soon in the To-Do section of the homepage and in the Upcoming section of the lead overview, and the Task Center colors overdue tasks red.

create_task changes only your own Houzz Pro data and reach no one else, so it runs without asking first.
