Knowify automation
Create a Knowify job and send the proposal for e-signature
The scope comes in an email, a site walk note or an estimate sheet, and the bid is due Friday. In Knowify that still means creating the client, adding the contract job, typing every line into the proposal and opening the e-signature form before anything reaches the customer.
Cotlet does it in your own Knowify account with list_clients, create_client, list_jobs, create_job, save_proposal and send_proposal_for_signature, called by your AI agent, an n8n workflow or a script.

Can Knowify do this on its own?
Knowify's Zapier app can create a client, a contract job or an active contract job, and fires a Contract Out for Signature trigger, but it has no action to write proposal line items or send a proposal for e-signature (checked 12 Oct 2026). Job Templates prefill default proposal line items when a job type repeats, and the AI Connector answers questions about existing data. A bid with its own scope still gets typed in by hand.
By hand
How you do it in Knowify today
- Open Contract Jobs and press Add New Contract Job; fill in Job Name, Client Name (pick from the client list or add a new client), Contract Style and Job Costing Style; a saved Job Template can be applied to the new job.
- The job is now a Lead. Open the Create proposal tab, enter each line item with its price, and click Save changes, which moves the job to Bidding.
- Click Send out for signature at the bottom of the proposal; the SEND TO field is filled from the client record, and Advanced Settings holds Proposal Valid Until, Attach PDF Proposal and Set Auto-reminder.
- Watch the sent and opened dates in Manage Contract Jobs until the client signs, rejects or asks for a revision.
- Repeat for the next lead. The scope already exists in an email or estimate, yet every line and price is typed again by hand unless a Job Template or Copy Job happens to fit.
With an agent
How to create a Knowify job and send the proposal for e-signature
Prompt
New bid from Riverside Dental: office rewire at 88 River Rd, rough-in $22,000 and fixtures $16,500. Create the Knowify job, save the proposal and send it to their office manager for signature. - 01
Match the client before creating one
The agent searches list_clients for the company name and close spellings. Two near matches, such as Riverside Dental and Riverside Dental Group, are shown to you instead of picked. A new client is added with create_client only when nothing matches, and only with an email, since the proposal has nowhere to go without one.
- 02
Avoid a duplicate lead
list_jobs with a search on the client and address catches a job already in Lead or Bidding for the same site, for example one a sales lead started from a phone call. The agent then fills that job rather than opening a second one.
- 03
Choose the contract style on purpose
Lump-sum scope becomes fixed_price; time and materials work becomes cost_plus. The agent asks when the request does not say, because Knowify change orders work only on fixed price jobs.
- 04
Check the numbers before saving
The agent splits the scope into line items, adds them up and compares the sum with the total you quoted. A gap of even one dollar stops the run with both figures shown. save_proposal then stores the draft and the job moves to Bidding without the client seeing anything.
- 05
Send only after you see the recipient
send_proposal_for_signature waits for your OK and shows who receives it. A general contractor's estimator or an office manager goes in to_email when the client record holds a different address.

- Same scope for three general contractors: create one job per GC and send each their own proposal.
- Create the job and save the proposal from this estimate PDF, but do not send it until I read it.
- Every morning, turn yesterday's bid requests from the estimating inbox into Knowify leads with a bid due date.
- Resend the Oak Ave proposal to the owner's new email; the first one was never opened.
Before you automate it
What Knowify allows, and what to know first
- Knowify updates the proposal's opened date in Manage Contract Jobs only when the client opens the e-signature link; opening the attached PDF leaves it at N/A.
- A Knowify proposal not acted on by its Proposal Valid Until date expires and needs a new e-signature link to be sent.
- When a client rejects a Knowify proposal, the job is marked Rejected and closed automatically with an email notice, while a revision request sends the job back to Bidding.
- A signed proposal makes the Knowify job Active, and Knowify notes that the number of active jobs is an important factor in the subscription price, which closing finished jobs can reduce.
- Knowify proposal auto-reminders, a Set Auto-reminder checkbox under Advanced Settings on the Advanced and Enterprise plans, re-send the e-sign link at the cadence you pick until the client replies.
send_proposal_for_signature asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions
Can I send the same Knowify bid to several general contractors?
Yes. Knowify's help center describes one job per GC, made with Copy Job from the job's Summary page with a different GC as the client, so each contractor gets an identical proposal. The agent does the same by creating one job per GC with the same line items.
