Reschedule Mangomint appointments when staff is out

1. Open the Mangomint calendar in Day view, select the stylist's name and choose Set to Not Working, or open Staff Members > Work Hours, pick the day, select This day only, turn on Not working and choose a reason.
2. Go through the stylist's column on the calendar one appointment at a time.
3. Drag each appointment to a new time or to another staff member's column, or select it and use the pencil icon to change the date, time or staff member.
4. When the date or time changes, turn on Send notification to client before saving, so the client learns about the new time.
5. Every appointment is a separate drag and a separate decision, and a move to a coworker who does not perform that service, or whose day is already full, is easy to miss in a rush.

Alex is out sick today. Move her appointments to tomorrow at the same times, or to another stylist who does the same service today, and tell me which ones didn't fit.

   Read the lost day

   The agent calls list_appointments for the absent stylist and the day, and notes each client, service and real length from start to end, since a client may have a longer saved duration than the menu.

   Check who can take the work

   It reads the services menu with list_services to see which coworkers perform each booked service, then reads their calendars and the target day with list_appointments. A coworker who does not perform the service is never a candidate.

   Plan each move in order of your rule

   Your prompt sets the order: same time on the next working day with the same stylist, or the same time today with a coworker. An appointment that fits neither goes on a leftover list instead of being forced into a gap that is too short.

   Re-check, then move with your OK

   Right before each move the agent re-reads the slot, skips appointments the client already canceled or the front desk already moved, and calls reschedule_appointment with notify_client set to true once you approve the plan.

5. 05

   Hand back what is left

   Appointments it could not place come back with the client name and service, so the front desk can call those clients and offer another day.

• Mangomint records a day off set from Staff Members > Work Hours with the reason you pick, and the Days Off report in the Reports app lists those days and reasons.
• Mangomint Settings > Calendar & Appointments > Quick Tools has a set staff to "not working" tool for several staff members and a date range at once, and it removes those dates from online booking while staff who are working stay bookable.
• Mangomint sends its Appointment Rescheduled message only when a client reschedules in the client portal, and only if client self-rescheduling is enabled.
• Mangomint shows the Send notification to client toggle when staff change an appointment's date, time or services, and only when Send for appointments booked by a staff member is on for at least one Appointment Booked message, so with that off, a move made by staff reaches the client silently.

reschedule_appointment asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.
