MarketSharp automation · runs daily
Result MarketSharp sales appointments and log what happened
Reps text the office "sold the Millers, 5k down" or "no decision, call back in two weeks", and someone has to open each contact and set the Appt Result. The ones nobody results make the closing ratio wrong and never get the follow-up calls the Appointment Rules were built for.
Cotlet does it in your own MarketSharp account with list_appointments, get_contact, result_appointment and add_note, called by your AI agent, an n8n workflow or a script.

Can MarketSharp do this on its own?
MarketSharp's read-only OData API can read appointments and their results, but no official API can set an Appt Result or add a note (checked 12 Oct 2026). Inside MarketSharp, Appointment Rules create follow-up activities automatically once a result is saved, so the gap is the resulting itself: someone still has to find the open appointments and enter each result by hand.
By hand
How you do it in MarketSharp today
- To find the gaps, open the Sales tab, filter by Salesperson and Date Range, and look for appointments whose Appointment Result is empty. MarketSharp recommends viewing or exporting this list to Excel daily so nothing slips through.
- For each visit, use Quick Find to open the contact, go to the Inquiries & Appointments tab and click Edit on the appointment.
- Pick the Appt Result (and a Result Reason if your company uses them). A result marked Sold shows a congratulations banner and the button turns into Save & Create Job, which converts the lead to a customer.
- Type what the rep said into the appointment notes or the contact's Notes tab, then save.
- Open the Activities tab to confirm the Activity Process from your Appointment Rules was created. When it is missing, MarketSharp support suggests clearing the result, saving, and setting it again.

How to result MarketSharp sales appointments and log what happened
Prompt
Find last week's sales appointments that still have no Appt Result. For each one, ask me or the rep what happened, set the result, add the rep's note to the contact, and tell me if the follow-up activities from our Appointment Rules did not show up. - 01
List what is still open
The agent calls list_appointments for the period you name with unresulted_only, then groups the visits by salesperson. Appointments dated today or later are left out, since they have not happened yet.
- 02
Collect the outcome, never guess it
For each visit it uses what you pasted (rep texts, a recap email) or asks you. An appointment with no clear outcome stays open and goes on a "ask the rep" list. The agent never marks anything Sold on a hunch, because Sold turns the lead into a customer.
- 03
Map the words to your own results
Phrases like "no decision" or "spouse not home" are matched to your company's Appt Result options from the Editable Drop Down List. When two options fit, the agent asks which one you mean, since the Sold and Presentation checkboxes on each result decide how it counts in closing ratio reports.
- 04
Set the result and keep the note
Each result_appointment call waits for your OK, then add_note stores the rep's own words on the contact, such as the deposit amount or the reason they walked. A Sold result comes back with "create a job" as the next step, which the agent passes to you because job creation stays in MarketSharp.
- 05
Check that the follow-ups fired
After resulting, get_contact shows the open activities. If an Appointment Rule should have created a call-back and none is there, the agent flags that contact so you can reset the result in MarketSharp, as its support article describes.
What you get back
Example data
Appointments 5 to 11 Oct with no result: 9 (jsmith 5, kpatel 4)
Resulted Sold: Dana Miller, Kitchen, note "5,000 deposit by check, start after Nov 1"
Resulted Demo / No Sale: Rob Alvarez, Roofing; call-back activity created by your Appointment Rule
Resulted No Show: Lisa Park, Windows
Follow-up missing: Carla Nguyen resulted Demo / Maybe, but no activity appeared; reset the result in MarketSharp
Still open, ask the rep: 4 appointments for kpatel (Reed, Owens, Hall, Ortiz)
Next step for you: create the job for Dana Miller Other ways to ask
- Every morning at 7:30, give me a list per salesperson of yesterday's appointments that still have no Appt Result.
- Here are Jake's texts from today. Result his three appointments and put his comments on each contact.
- Only report: how many of September's appointments are still unresulted, per rep, and which lead sources they came from.
- Mark the Hall appointment as no sale and add a note that they want a call after the holidays.
Before you automate it
What MarketSharp allows, and what to know first
- MarketSharp counts the dashboard closing ratio as appointments set against appointments resulted Sold, so every unresulted visit lowers a rep's ratio on the dashboard.
- In MarketSharp an Appt Result converts the lead to a customer only when that result has the Sold option checked in Admin > Company Setup > Editable Drop Down Lists.
- MarketSharp Appointment Rules (Admin > Automation Rules > Appointment Rules) attach an Activity Process to an Appt Result, optionally narrowed by Result Reason, and run it when the result is saved.
- A MarketSharp employee can add notes only if Employee Maintenance > Feature Permissions gives Edit on Notes for each contact type, prospect, lead and customer, separately.
result_appointment and add_note ask for your OK by default. To run it daily without you, switch confirmation off for those tools in your dashboard.

Frequently asked questions
Why did no follow-up activity appear after resulting an appointment?
MarketSharp creates activities only if an Appointment Rule links that Appt Result to an Activity Process. If the rule exists and nothing appears, MarketSharp support suggests editing the appointment, clearing Appt Result, saving, then setting the result again.
