Turn call notes into a Milanote to-do list with due dates

The call ended with ten action items and three deadlines buried in a transcript. Someone has to open the project board in Milanote, type each task into a to-do list and set every due date by hand before Monday.

Cotlet does it in your own Milanote account with list_boards, get_board and add_todo_list, called by your AI agent, an n8n workflow or a script.

Official options

Can Milanote do this on its own?

Milanote has no API to create tasks or set due dates (checked 12 Oct 2026). To-do lists, due dates, reminders and assignments are set in the app, task by task. Milanote's own FAQ answers "Unfortunately not" to syncing to-do lists or tasks across boards and points to its feature poll.

By hand

How you do it in Milanote today

  1. Open the project board in Milanote and add a To-do list card; select it and press Title in the left toolbar to name it.
  2. Type each action item as its own task, pressing Tab to indent a sub-task and Shift + Tab to bring it back.
  3. Select each task, choose Due date in the Milanote toolbar, pick the date and optionally a time for the reminder.
  4. To hand a task to a colleague, select it, click Assign and search for the person; if they are not on the board yet, click Invite next to their name.
  5. Every date is set task by task, and because Milanote cannot sync to-do lists across boards, there is no single list that shows what is due this week on all your projects.

With an agent

How to turn call notes into a Milanote to-do list with due dates

Prompt

Here is the transcript of today's client call. Add the action items as a to-do list on my Q1 campaign board, with the dates we agreed, and leave out anything that is already on the board.
  1. 01

    Keep only real commitments

The agent pulls out items someone agreed to do, with an owner or a date, and leaves out ideas that were only discussed. Each task is rewritten as a short instruction that still makes sense out of context.

  2. 02

Turn spoken dates into calendar dates

"By Friday" or "end of next week" becomes a YYYY-MM-DD date counted from the call date in your timezone. A reminder time is set only when one was said aloud. A vague deadline such as "soon" gets no date and is flagged for you.

  3. 03

    Check the board for repeats

Before adding anything, get_board reads the to-do lists already on the board. A task that matches an open one is skipped, and a task already ticked off is mentioned instead of added again.

  4. 04

    One list per call

add_todo_list creates a single list titled with the call and its date, all tasks inside. Tasks for other people carry the person's name in the text, because assigning stays a click in Milanote and sends the colleague a notification.

  5. 05

    Show the week ahead

On request the agent reads the to-do lists on all your project boards with get_board and reports open tasks due in the next 7 days, the overview Milanote itself does not offer.

What you get back

Example data

Board: Q1 campaign (b_5Hc3Wp). New list "Client call, 12 Oct" with 6 tasks.
Shorten the intro: due Fri 16 Oct.
Swap the hero image (Sam): due Fri 16 Oct, reminder 10:00.
Send revised budget to Dana: due Tue 20 Oct.
Skipped 2 tasks already open on the board: "Book the photographer", "Confirm venue".
No date given: "Look into a TikTok cut". Added without a due date.

Other ways to ask

  • Every Monday at 9:00, list all open tasks due this week across my client boards, grouped by board.
  • Add these 5 edits from my email to the Website relaunch board, all due the day before launch on 30 Oct.
  • Take the action items from the last three call transcripts in ./calls and put each set on its own client board.

Before you automate it

What Milanote allows, and what to know first

  • A due date on a Milanote task sends the reminder when the task is due or beforehand, by email, phone or tablet push, or browser notification, as set on the Email and Notifications screen in Settings.
  • Assigning a Milanote task sends the assignee a notification with a link to the board, and inviting them from the Assign menu emails them a board link.
  • Milanote cannot sync to-do lists or tasks across boards, according to its own To-do Lists FAQ.
  • Clicking a due task in the Milanote notification bar opens it on its board, where you mark it done or delete it to clear the reminder.

add_todo_list changes only your own Milanote data and reach no one else, so it runs without asking first.

Frequently asked questions

Can the agent assign tasks to my colleagues?

No. add_todo_list sets text and due dates only. Assigning stays in Milanote: select the task, click Assign and pick the person, who then gets a notification with a link to the board.
