Service Autopilot automation · runs daily
Reschedule Service Autopilot jobs after rain
The forecast turns at 4 PM, and the office has to move tomorrow's mowing route on the Dispatch Board before the crews leave in the morning, then tell every client their lawn is now on Friday.
Cotlet does it in your own Service Autopilot account with list_jobs, reschedule_job and send_text, called by your AI agent, an n8n workflow or a script.

Can Service Autopilot do this on its own?
Service Autopilot has no public API for the schedule (checked 12 Oct 2026). In the app, Edit Jobs on Scheduling > Dispatch Jobs moves selected visits to one date in bulk, and on Pro Plus an Automation with the Visit date changed trigger can text clients once Two-Way Texting is subscribed. Service Autopilot does not decide which visits to skip and which to move, and it does not check whether the target day still has room.
By hand
How you do it in Service Autopilot today
- Go to Scheduling > Dispatch Jobs, filter to the rained-out day and the crew, and tick the visits to move.
- Click Edit Jobs, type the new date in the Move To field, change the assignment if another crew takes them, and click Apply.
- For one visit, click the Service in the Service column and change the Schedule Date in the Job Edit overlay, or use the Job Status icon to change status, date and time together.
- In the field, the Service Autopilot Team App skips jobs in bulk from List view: check the jobs, tap Skip Services and enter a skip reason. The vendor's rain delay guide suggests skipping contract clients, who pay whether the lawn is cut or not.
- Text clients one at a time from More > Send Text on the Dispatch Board, or, on Pro Plus, build an Automation that sends a Two-Way Texting message.
- Edit Jobs sends every selected visit to the same date whether that day is already full or not, and the same storm often means two or three days of moves in a row.

How to reschedule Service Autopilot jobs after rain
Prompt
Rain tomorrow: move Crew 2's mowing visits to Friday, but skip the contract clients, keep any visit that already moved this week, and text each moved client the new day. - 01
Read the day and the target day together
Your agent calls list_jobs for the rained-out date with crew set, and again for the target day, so it can compare how many stops and dollars each crew already carries before it moves anything.
- 02
Sort skips from moves
Contract clients you name in the prompt, or tagged that way in the job instructions, are not moved; the agent lists them for a bulk skip in the app. Pay-as-you-go visits are the ones that get rescheduled, because they only bill when the lawn is cut.
- 03
Spread the moves when the target day is full
If Friday would end up with more stops than the crew normally runs, the agent proposes Saturday or another crew for the overflow and waits for your answer. Visits already moved once this week are left in place and reported.
- 04
Move each visit and check the next one
reschedule_job is called once per visit. A weekly client moved from Tuesday to Friday still keeps next Tuesday on the repeating schedule, so the agent flags pairs that end up only a few days apart instead of changing the master job.
- 05
Tell the clients after the move succeeds
Only visits that actually moved get a send_text with the new day; a failed move never produces a text. Each text waits for your OK unless you switched confirmation off for send_text.
What you get back
Example data
Rained out: Tue Oct 13, Crew 2, 14 visits ($812.00)
Moved to Fri Oct 16: 9 visits; Friday now 21 stops
Moved to Sat Oct 17 with Crew 1: 2 visits (Friday was full)
Not moved, contract clients for a bulk skip: 3 (Lee Park, Hill Office Park, Oak Grove HOA)
Texts sent: 11; no cell number on file: R. Gomez, 40 Elm St
Check: Dana Henderson now has visits Fri Oct 16 and Tue Oct 20 Other ways to ask
- Every evening at 6, if tomorrow shows more than 70 percent rain, draft the moves for all crews and wait for my OK before changing anything.
- Push all of Thursday's visits back one day for every crew, and move Friday's to Saturday.
- Text everyone on today's route that we are running about two hours late because of the morning storm, without moving any visit.
- Show me which pay-as-you-go visits were skipped instead of moved this week.
Before you automate it
What Service Autopilot allows, and what to know first
- Service Autopilot recurring schedules adjust only the visit you move: the next visits stay on the original weekday, and changing all future visits means editing the Master Schedule on the Master Job.
- The Permanent option in Service Autopilot Edit Jobs applies only to the crew assignment and updates it on the Master Job for all future dates.
- Sending a text from the Service Autopilot Dispatch Board reaches one recipient at a time and needs the cell phone number and carrier; with Two-Way Texting the same menu opens the Message Center instead.
- Service Autopilot Two-Way Texting numbers must be registered with the carriers, US messages from unregistered numbers are blocked with error 30034, and clients must consent before you text them.
send_text asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions
Should rained-out contract clients be skipped or moved in Service Autopilot?
The Service Autopilot rain delay guide suggests skipping visits for clients on a contract, who pay whether or not the job is done, and rescheduling pay-as-you-go visits, which only bill when completed. The Team App can skip jobs in bulk with a skip reason.
