Setmore automation · runs daily
Mark Setmore no-shows and track repeat offenders
The day ends, half of the appointments in the Setmore calendar still have no label, and by Friday nobody remembers who skipped Tuesday's 3 pm. Without the labels and notes, the customer profile never shows that the same person has missed four times.
Cotlet does it in your own Setmore account with list_appointments, get_customer, set_appointment_label and add_customer_note, called by your AI agent, an n8n workflow or a script.

Can Setmore do this on its own?
Setmore treats labels as visual tags you set by hand in the calendar, and its help center describes no rule that labels a missed appointment on its own (checked 12 Oct 2026). The Pro API scope named in the help center covers appointments, customers and staff, not labels or customer notes. The Zapier triggers fire on updated or deleted service appointments and say nothing about labels.
By hand
How you do it in Setmore today
- In the Setmore web app, open yesterday in the calendar and click each appointment to open its details pop-up.
- For a customer who did not come, choose No-Show from the Label dropdown in the top right of the pop-up and click Save. The Setmore mobile app needs the pencil icon, Add Label, Save, and Save again on the Appointment Details screen.
- To keep a record on the person, open the Customer tab, click the customer, click Notes and type the date and service that was missed.
- For a customer who keeps missing, a Setmore Pro owner or admin opens the profile, clicks the three dots and chooses Block Customer.
- The Setmore help center describes setting a label one appointment at a time and mentions no bulk labeling. On a busy day the labeling slips, and the pattern of repeat no-shows stays invisible.
With an agent
How to mark Setmore no-shows and track repeat offenders
Prompt
Every morning, go through yesterday's Setmore appointments that nobody labeled, ask me which customers didn't come, label those No-Show, add a dated note to each customer and tell me who has missed three times in 90 days. - 01
Start from the unsettled appointments only
The agent reads yesterday with list_appointments, for the whole team or one person. Anything already labeled Done, Paid or No-Show is left alone, so a run the next day never labels the same visit twice. Unlabeled, Pending, Confirmed and Running Late visits become the candidate list.
- 02
Ask, do not guess, who missed
Setmore cannot tell whether a customer walked in. By default the agent shows you the candidates and waits for you to pick the no-shows. If you give it a rule such as "anything not marked Done by 9 am the next day is a no-show", it applies the rule and lists what it decided.
- 03
Label the visit and write the note
For each confirmed miss, set_appointment_label puts No-Show (or your own label, spelled as in Setmore) on the appointment. add_customer_note then writes one dated line with the service and team member, for example "No-show 14 Oct, Massage 60 min with Anna".
- 04
Count earlier misses before flagging
get_customer returns the notes the agent wrote on earlier runs. When the count inside your window reaches your threshold, the customer goes on a short list with their dates. The agent stops there: blocking stays your call, because it needs Pro and it stops the person booking online.
- 05
Report what it could not settle
An appointment deleted since the list was read, or one with no customer profile behind it, is reported instead of labeled. Visits you did not answer about stay unlabeled for the next run.
What you get back
Example data
14 Oct: 11 appointments, 7 already labeled Done
Asked about 4, you marked 3 as no-shows
No-Show + note: Priya Raman 10:00 Massage, 60 min (Anna), Tom Becker 13:30 Consultation (Anna), Ella Moss 16:00 Massage, 60 min (Ben)
Left unlabeled: Jon Hale 17:00, waiting for your answer
Repeat no-shows (3+ in 90 days): Tom Becker, 3 misses (2 Aug, 19 Sep, 14 Oct). Consider Block Customer in Setmore. Other ways to ask
- Only check Ben's appointments from yesterday and label the ones still marked Confirmed as No-Show.
- Go back over last week: label every unlabeled past appointment Done unless I name it as a no-show.
- Every Monday, list customers with two or more no-show notes this month, with their next booked appointment.
- Use our custom label "Missed - charge fee" instead of No-Show for customers who booked a paid service.
Before you automate it
What Setmore allows, and what to know first
- Setmore labels are visible only to you and your team, never to customers, and they sync between the web and mobile apps.
- Block Customer in Setmore needs the Pro plan and can be used by Owners, Admins and Enhanced users; Standard users only see the Blocked tag.
- A blocked Setmore customer is not notified, and the block matches only the saved email or phone, so a booking made with other contact details still goes through.
- Setmore keeps no list of blocked customers yet, and customer exports do not show who is blocked, so the dated notes are the record of why.
- Setmore customer Notes are private to the team; a message the customer should see goes in an appointment comment from Appointment Details.
set_appointment_label and add_customer_note change only your own Setmore data and reach no one else, so they run without asking first.
