Answer SuiteDash portal messages from clients with AI

Clients ask in the portal instead of email: is the draft ready, when is the call, did you get my file. The Inbox badge grows while you are in client work, and the answer usually sits in a project task you already have.

Cotlet does it in your own SuiteDash account with list_message_threads, list_tasks and send_message, called by your AI agent, an n8n workflow or a script.

Official options

Can SuiteDash do this on its own?

SuiteDash's Secure API and Zapier app have no action for Messages (checked 11 Oct 2026). In the portal, a Canned Response set to Auto-Reply answers the first message of each new thread, and A.I. Agents with a Compose Skill write one message to the person an automation is about, optionally held for Wingman approval (checked 12 Oct 2026). SuiteDash's help does not describe either one reading incoming threads and answering the question in them.

By hand

How you do it in SuiteDash today

  1. Open Messages in the left navigation and use the filter icon above the Inbox to show Unread threads only.
  2. Open a thread to see the conversation oldest to newest, then check the project in Projects > Projects for the task or due date the client is asking about.
  3. Reply from the sticky bar at the bottom (Reply All appears only when the last message went to several people), inserting a Canned Response from the Canned Responses icon in the editor toolbar if one fits.
  4. Look at the Client Talk tab of each active project too, because SuiteDash keeps that per-project board apart from Messages.
  5. Each answer means switching between Messages and Projects, and a thread you read but did not answer loses its unread highlight and slips out of sight.

With an agent

How to answer SuiteDash portal messages from clients with AI

Prompt

Go through my unread SuiteDash messages, answer the deadline questions from the task due dates, and show me drafts before anything is sent.
  1. 01

Read only what waits for you

The agent calls list_message_threads with unread_only for the Inbox and for each client folder you name. A thread whose last message came from you or another staff member is skipped, and so is a reply to your own Auto-Reply text.

  2. 02

Sort by what the client needs

Threads are grouped as deadline questions, invoice or payment questions, file handoffs and the rest. Scope changes, price talk and complaints are never answered by the agent; they go to the top of your list with a one-line summary.

  3. 03

Answer from SuiteDash data, not memory

For a deadline question the agent finds the matching task with list_tasks in that client's project and quotes its due date and status. If the task is overdue or has no due date, it drafts nothing and tells you, so no date is promised that the project does not hold.

  4. 04

Reply in the thread, after your OK

Each draft goes back through send_message with the thread_id, so the client sees it in the same conversation rather than a new one. You approve, edit or drop each draft; the client's name is written out in full, since SuiteDash Messages do not fill placeholders.

What you get back

Example data

6 unread threads in Inbox and the "Retainers" folder.
Ana Lopez, "Deadline for the logo files": task "Final logo export" due Fri 16 Oct, In progress. Draft: "Hi Ana, the final files are scheduled for Friday 16 Oct."
Mark Chen, "Moving the launch": asks to add two pages before launch. Scope change, left for you.
Priya Nair, "Kickoff call?": task "Kickoff call" has no due date. No draft; set a date first.
Tom Reyes, "Thanks!": no reply needed.
2 drafts sent after your OK, 4 threads left unread for you.

Other ways to ask

  • Every weekday at 8 am, summarize unread SuiteDash messages in one list and do not draft anything.
  • Answer only the threads in the "Retainers" folder, and send the deadline replies without asking me when the task is on schedule.
  • Find threads from Acme Studio from the last week that I have not answered yet and draft short replies.

Before you automate it

What SuiteDash allows, and what to know first

  • A SuiteDash Canned Response with Auto-Reply goes out only on the first message of a thread, so a client who writes again in the same thread gets nothing automatic.
  • SuiteDash Messages cannot use placeholders, so a Canned Response cannot insert the client's name or project.
  • By default SuiteDash lets Prospects and Clients message any Admin, Project Manager or Office Manager; an Admin can turn on "Designate Staff to whom Contacts can Message" in Messaging Settings to pick exactly which staff each contact can reach.
  • Threads moved to Trash in SuiteDash Messages are deleted for good after 30 days, and SuiteDash Support cannot recover a thread removed with Delete Forever.

send_message asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions

Does the agent see Client Talk posts on a project?

No. SuiteDash keeps Client Talk as a separate board on each project, under Projects > Projects > Client Talk, and the agent reads Messages threads only. Questions posted there still need a look in the project.
