Summarize weekly Trainerize check-in forms with AI
Weekly check-in forms come in from every client, and each one opens on its own Client Card. Reading them all in full to find the two clients who are struggling eats the morning you meant for coaching.
Cotlet does it in your own Trainerize account with list_check_ins, get_client and list_clients, called by your AI agent, an n8n workflow or a script.

Can Trainerize do this on its own?
Trainerize sends an in-app alert when a client submits a check-in form and shows answers per client, with a Compare view across submissions (checked 12 Oct 2026). The paid FitMetrics add-on drafts AI replies to check-ins in a separate coach interface, from $150 a month on its Starter plan. The help center describes no summary across the whole roster in Trainerize itself, and the API that reads forms is limited to Studio and Enterprise plans or FitMetrics.
By hand
How you do it in Trainerize today
- On the Trainerize web Overview page, look under Recent Activity and filter by Forms to see which clients submitted.
- Open the Clients tab, click a client's name to open the Client Card and select the Check-in tab to read the answers.
- Turn on the Compare toggle to put this week's form next to an earlier submission and see whether a rating moved.
- For context, open the client's Progress tab > Insights Dashboard, where the Forms widget sits next to Weekly Compliance, body weight and sleep.
- Repeat for every client who checked in, then work out who did not. The forms that matter look the same as the rest until you read them to the end.

How to summarize weekly Trainerize check-in forms with AI
Prompt
Summarize the check-in forms submitted since last Monday. Flag anyone whose energy or motivation score dropped, anyone who mentions pain, and list who has not checked in. - 01
Read only what is new
The agent passes the date of its last run as since to list_check_ins, or the last seven days on a first run, so a form is never summarized twice. Forms you already answered in the app are still read, because the trend matters more than the reply.
- 02
Compare scores, then read the words
For rating questions the agent compares each answer with the same client's previous form and flags a drop of three points or more. Text answers are read for pain, injury, illness, schedule changes and talk of quitting, which outrank any score.
- 03
Weigh it against the client
get_client adds goals, tags and the main program. Low energy in the first week of a new program reads differently from low energy in week five, and the summary says which one it is.
- 04
Name the silent ones
list_clients returns the full-access roster, and anyone without a form in the window goes on a separate "did not check in" list. Offline, basic and prospect clients are left off it unless you include them.
- 05
Report, do not reply
The run only reads. It ends with a short list sorted by urgency, and drafts replies only if you ask for them in a follow-up.
What you get back
Example data
18 check-ins since Mon 5 Oct, 23 full-access clients
Call this week: Alex Rivera, energy 2/10 (was 6), two late shifts, skipped Thursday
Call this week: Priya Shah mentions knee pain on lunges, week 2 of 6-week Shred
Watch: Tom Becker, motivation 5/10 (was 7), traveling until Friday
Doing well: 15 clients, scores steady or up
No check-in: Dana Wolfe, Lena Ortiz, Marco Ruiz, Sam Carter, Jo Kim Other ways to ask
- Every Monday at 6 am, send me the check-in summary for the past week.
- Only read check-ins from clients tagged "Online", and quote their exact words for anything about pain or injury.
- Compare Alex Rivera's last four check-ins and tell me what changed.
- List clients who have missed their check-in two weeks in a row.
Before you automate it
What Trainerize allows, and what to know first
- Only the Trainerize Account Owner or an Admin can create or edit check-in forms (Master Libraries > Forms); managers and trainers can only schedule existing forms onto calendars.
- Editing a Trainerize check-in form does not update copies already scheduled on a master program or client calendar; the form has to be scheduled again for the new questions to reach clients.
- Trainerize check-in forms offer single answer, multiple answer, text and 1 to 10 rating questions, with at most 7 options per choice question.
- Trainerize alerts the trainer about form submissions in the app only (My Account > Notifications > Custom Form Submissions); email alerts for check-in forms are not supported.
- A coach can edit a client's submitted Trainerize check-in on the web, after which the form shows the last editor and edit date and comparisons use the edited answers.
Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.
