Turn a Whova post-event report into sponsor recaps

The event is over and each sponsor wants their numbers before the renewal call. Whova's post-event report holds them, inside a report of 60+ pages written for you, not for any single sponsor.

Cotlet does it in your own Whova account with list_events and get_post_event_report, called by your AI agent, an n8n workflow or a script.

Official options

Can Whova do this on its own?

Whova has no API or Zapier action for the post-event report (checked 12 Oct 2026). The report is Whova's own answer to sponsor ROI: a 60+ page document with a Sponsors and exhibitors section, and individual sections can be viewed and downloaded. It is one report for the organizer. We found no per-sponsor version of it in Whova's materials, so recaps for individual sponsors are still assembled by hand.

By hand

How you do it in Whova today

  1. Open the Tools tab in the Whova dashboard, find the Report section and request the Post-Event Report.
  2. Answer the short survey about your event experience that Whova asks before releasing the report; returning admins get a shorter version.
  3. Wait for the report, which Whova says is typically ready within a few days of the request.
  4. View or download the Sponsors and exhibitors section, then find the figures Whova reports for sponsors: total sponsor impressions, exhibitor leads, attendee profile views and the impressions of individual sponsors.
  5. Copy each sponsor's figures into a separate email or slide. Every sponsor needs the same lookup, and a figure copied into the wrong sponsor's recap goes out under your name.

How to turn a Whova post-event report into sponsor recaps

Prompt

Read the post-event report of Northwind Summit 2025 and draft a recap for each sponsor with their own impressions next to the event totals. Do not send anything.
  1. 01

    Pick the finished event

list_events with status past finds the event. When get_post_event_report returns not ready, the agent stops and tells you to request the report under Tools > Report, since only the organizer can trigger it and Whova needs a few days.

  2. 02

    Read the sponsor section first

The agent asks get_post_event_report for the Sponsors and exhibitors section only, which keeps the run short, and reads the registration and engagement sections afterwards just for the headline figures every recap shares.

  3. 03

    Build one recap per sponsor

Each draft puts the sponsor's own impressions next to the event total and the attendee count. Figures are quoted exactly as the report gives them; a metric the report does not show for that sponsor is written as missing, never estimated.

  4. 04

Flag what the report cannot answer

Exhibitor leads sit in each exhibitor's own portal, so a sponsor asking for lead names is pointed there rather than given a number the report does not break down.

  5. 05

    Hand back drafts only

The run reads and writes text for you. Nothing goes to a sponsor until you send it yourself.

What you get back

Example data

Northwind Summit 2025 (14 to 16 Oct), Sponsors and exhibitors section.
Event totals: 48,210 sponsor impressions, 1,342 exhibitor leads, 6,905 attendee profile views.
Acme Cloud: 12,480 impressions (26% of total). Draft recap ready.
BrightPay: 9,115 impressions. Draft recap ready.
Orbit Labs: impressions not listed in the report. Draft says so; check their banner placement.
3 drafts saved for your review, nothing sent.

Other ways to ask

  • Compare each sponsor's impressions with last year's post-event report and note who grew.
  • Write a one-page recap for our Gold sponsor only, with attendee engagement figures up front.
  • Pull the registration and engagement headline figures from the report for our board update.

Before you automate it

What Whova allows, and what to know first

  • Whova releases the post-event report only on request from the Tools tab, after the organizer completes a short survey, and says it is typically ready within a few days.
  • Whova's post-event report can be viewed and downloaded section by section, and Sponsors and exhibitors is one of seven sections next to Attendee engagement, Event registration and Event logistics.
  • Exhibitors collect their own leads in Whova with QR code scanning, manual entry and virtual booth interactions, and the exhibitor portal shows every lead captured with analytics and qualifiers.
  • Whova's Cross-Event Report, under Manage Attendees in the Attendees section, compares registration, demographics and engagement with a past event, and its sections carry no sponsor data.

Every tool here only reads, so it can run on a schedule from n8n, Make, Zapier or cron without waiting for your OK.
