Workiz automation · runs daily
Book Workiz jobs from new leads
Web forms and calls land in Workiz Leads all day, and each lead waits until someone finds a free slot, books the visit and assigns a tech, which after hours means the next morning.
Cotlet does it in your own Workiz account with list_leads, list_clients, get_schedule, create_job and assign_job, called by your AI agent, an n8n workflow or a script.

Can Workiz do this on its own?
The Workiz API can list leads, convert a lead to a job and create jobs, Ultimate plan only (checked 11 Oct 2026); Zapier, also Ultimate only, has Create Lead and Create Job actions. Workiz Automations can text or email the client or the assigned tech when a lead changes status, but no rule books the visit. Genius Scheduling suggests slots only while a person creates a job by hand (help center and pricing checked 12 Oct 2026).
By hand
How you do it in Workiz today
- Turn on Leads under Add-ons in the Workiz Feature Center if it is off, then open the new lead.
- Turn Scheduled on, pick the date, add the service address and service area, and assign a team member.
- Check Schedule > Timeline for a free window first; Genius Scheduling suggests nearby slots, but only on the Pro and Ultimate plans.
- Select Convert to job and choose whether to sync an estimate from the lead into the job.
- Every lead takes a date, an address, a service area and a tech before it becomes a job, and leads from the evening sit untouched until someone opens Workiz.
With an agent
How to book Workiz jobs from new leads
Prompt
Book every lead that came in since yesterday into the first free slot this week and assign it to Mike. Ask me about any lead without a job type. - 01
Read the new leads
Your agent calls list_leads for open leads created since yesterday. A lead that already has a team member assigned is left alone, because someone in the office is working it.
- 02
Reuse the client Workiz already made
Workiz creates a client when a lead is submitted, so list_clients by the lead's phone number finds that record and the job goes on it. If two clients share the phone number, the agent stops and asks rather than guessing.
- 03
Find the first real opening
get_schedule for the week shows the chosen tech's jobs and time off. The agent takes the first window long enough for the job type that overlaps nothing, inside the days you named.
- 04
Book and assign
create_job uses the job type from the lead, which must match a Workiz job type exactly, and copies the lead description into the notes. A lead without a job type waits for your answer. After you approve the booking, assign_job puts the tech on it.
- 05
Tell you which leads to close
The new job does not convert the lead itself, so the report lists the lead IDs to close in Leads. Using Convert to job on them afterwards would create a second job.
What you get back
Example data
New leads since yesterday: 4
Booked: Priya Nair, Water heater install, Wed Oct 14 9:00-11:00, Mike R. (client from the lead)
Booked: Sam Lee, Drain cleaning, Wed Oct 14 13:00-14:00, Mike R.
Not booked: ld_8850 has no job type, which service is it?
Not booked: ld_8853 matches 2 clients by phone (Jo Park, J. Park)
Close in Leads: ld_8841, ld_8846 Other ways to ask
- Book only leads with source Google and leave the rest for me.
- Every morning at 7, book overnight leads into the first free slot of any tech that day.
- Show me today's new leads with the two best open slots for each, but book nothing.
Before you automate it
What Workiz allows, and what to know first
- Workiz treats a lead as a potential job, not a potential customer, and submitting a lead creates a client record with the same details.
- Workiz converts a lead only once it is scheduled, and scheduling requires a service address, a service area and an assigned team member.
- A Workiz lead automation with a delay fires only after the lead is scheduled; an unscheduled lead can trigger a rule only when it is set to Immediately.
- The Workiz pricing page lists Leads tracking on every plan, while Genius Leads and Genius Scheduling are Pro and Ultimate only.
create_job asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions
Does it mark the lead as converted in Workiz?
No. create_job books a new job on the client the lead created, and the lead stays in Leads. The report names those leads so you close them there; running Convert to job on them would add a second job.
