Zen Planner automation · runs weekly

Find Zen Planner members who stopped coming to class

A regular who trained four mornings a week has not been seen since the start of the month, and nobody noticed because the 6:00 class still looks full. Coaches want those names on Friday, while a personal call can still bring the member back.

Cotlet does it in your own Zen Planner account with list_members, list_attendance and get_member, called by your AI agent, an n8n workflow or a script.

Official options

Can Zen Planner do this on its own?

Zen Planner has a preset Absent Member (Touch 1) - Email automation that emails members who have not come to class in a set amount of time, and custom automations can add a staff task or text message. Zen Planner Engage, an add-on marketing product, automates member journeys. The partner API can query one person's class attendances, but its credentials come only through Daxko sales (checked 12 Oct 2026). The gap: the automation sends the same message on a fixed absence threshold, and nothing ranks members by how far they fell from their own routine.

By hand

How you do it in Zen Planner today

  1. On the new Zen Planner dashboard, check Members with Low Attendance; the Students Absent 2-4 Weeks report has moved to My Reports > Members.
  2. For your own cut-off, go to My Reports, click New Report, choose People, open Edit Report Settings and tick Last Attendance Date, then sort by it to bring the longest absences to the top.
  3. Add a Status criteria so the Zen Planner report lists members only, not alumni or prospects.
  4. Open each profile to see the membership and whether it is On Hold, because a held member is expected to be away.
  5. The Zen Planner report gives one last-visit date per person. A twice-a-week regular who vanished looks the same as a once-a-month member on their normal gap, so the coach still has to judge every name.

With an agent

How to find Zen Planner members who stopped coming to class

Prompt

Every Friday, find Zen Planner members who used to train at least twice a week but have not checked in for 14 days, and give me a call list for the coaches with their usual class.
  1. 01

    Start from current members only

The agent pages through list_members with status member. Alumni and prospects are left out on purpose: they belong in a win-back or sales list, not a coach call.

  2. 02

Compare each member with their own habit

list_attendance for the last 60 days splits into the recent 14 days and the 46 before. A member who averaged two or more visits a week and has none in 14 days is flagged as a drop. A member who always came twice a month is not.

  3. 03

    Treat new members separately

Someone whose membership started in the last 30 days, per get_member, with one or no check-ins is listed under "never settled in". Those people need an onboarding call, which is a different conversation from "we miss you".

  4. 04

    Leave out expected absences

Names you mark as injured, travelling or on hold are skipped. The agent cannot read hold status from the tools, so it asks you to confirm any flagged regular you know is paused instead of guessing.

  5. 05

    Keep the check affordable

Attendance is one call per member, so on a large roster the agent narrows the run first, for example to Unlimited memberships or members changed recently with modified_after, and tells you how many people it checked.

What you get back

Example data

Zen Planner check-ins, 28 Sep to 11 Oct vs the 46 days before: 214 members checked
Dropped off: Jenna Cole, 3.5 visits/week before, last check-in 26 Sep, usually 6:00 WOD, +1 555 0114
Dropped off: Raj Patel, 2.1/week, last check-in 24 Sep, usually Saturday Open Gym
Dropped off: Ava Brooks, 2.0/week, last check-in 25 Sep, usually Kids BJJ (parent: Dan Brooks)
Never settled in: Mia Torres, joined 18 Sep, 1 check-in
Skipped as you asked: Chris Lowe (knee surgery)

Other ways to ask

  • Every Friday, list kids' program students with no check-in for 10 days and give me the parent's phone for each.
  • Which members who joined in the last 60 days have checked in fewer than four times?
  • Find Unlimited members whose weekly visits halved this month compared with last month.

Before you automate it

What Zen Planner allows, and what to know first

  • The new Zen Planner dashboard renamed Low Attending Students to Members with Low Attendance and moved Students Absent 2-4 Weeks to My Reports > Members; a toggle at the top switches back to the old dashboard.
  • A Zen Planner member on hold still counts as an active member in Zen Planner billing and cannot reserve classes while the hold lasts.
  • Zen Planner custom automations can send an email, profile alert, staff task or text message; texts work in the US and Canada only, at 2.1 cents per message.
  • A Zen Planner automation fires retroactively for triggering events from the last two days when it is activated, so switching on Absent Member (Touch 1) mid-week can email recent absentees at once.

Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.
