Mark Fathom action items done and keep them current

Fathom writes action items after every call, and they stay open until someone returns to each call page and ticks them. A week of calls means a week of items that nobody closes.

Cotlet does it in your own Fathom account with list_calls, list_action_items, get_transcript, update_action_item and add_action_item, called by your AI agent, an n8n workflow or a script.

Can Fathom do this on its own?

Fathom reads action items out but has no way to write them back (checked 22 Oct 2026). The API returns each item with completed and assignee, webhooks send new items out when include_action_items is on, and the API reference has no endpoint that changes one. Fathom's Zapier app has triggers and no actions. The Asana sync mirrors a tick or an edit only for items assigned to you.

How you do it in Fathom today

  1. Action items sit in the Action Items section of each call page. With Auto-Generate Action Items on, a Premium and Team setting, Fathom extracts them after the call.
  2. To close one, you open the call from My Calls and tick the item, or edit its text. To add one Fathom missed, you click the plus icon and choose Action Item.
  3. Team Admins with Standard access to a team member's recording can manage notes and assign action items on that call.
  4. To get items into a task tool, you connect Asana under Settings > Integrations > Task Manager. Only items assigned to you, from calls you recorded, sync.
  5. Every call is its own page, so finding what is already done means rereading later calls and remembering which ones came up again.

How to mark Fathom action items done and keep them current

Prompt

Go through my Fathom calls from the last 7 days. For each open action item, check later calls for proof it is done, tick the done ones and list the rest with a reason.
  1. 01

    Collect the open items

The agent reads the week with list_calls using created_after, then runs list_action_items on every call with open_action_items above 0. It keeps items where completed is false and notes user_generated, because an item a person wrote is a promise someone made on purpose.

  2. 02

Look for proof in later calls

For each open item it reads get_transcript of later calls with the same attendees and looks for a turn that says the work is finished, such as "the quote went out Tuesday". It quotes the line and its timestamp, so you can see why an item was closed.

  3. 03

    Close only what has proof

update_action_item sets completed to true for items with a quoted line. An item with a vague mention, or none, stays open and goes on your list. Ticking is undone by one more call, so it runs without asking; Fathom syncs the change to a connected task manager itself.

  4. 04

    Add what nobody wrote down

When a transcript holds a clear commitment with no matching item, add_action_item writes it to that call. Each add waits for your OK, because Fathom may pass the new item on to a connected CRM or task manager.

  5. 05

    Report what changed

The agent lists closed, added and still open items per call, so Monday starts with the real open list.

What you get back

Example data

Calls checked: 9 (last 7 days)
Closed 5, e.g. "Send revised quote to Marc" (Q4 pricing review), done per 00:03:12 of Thursday's check-in
Added 1: "Send NDA draft to Tom" (Vendor onboarding sync)
Still open 4:
- "Book legal review for annual terms" (no mention in later calls)
- "Share Q3 numbers" (mentioned, not confirmed)

Other ways to ask

  • Every Friday, list open items older than 5 days per person and do not change anything.
  • Close items from calls tagged as internal standups if the next standup says they are done.
  • Reopen any item I ticked by mistake this week if a later call says it is still pending.

What Fathom allows, and what to know first

  • Fathom's API shows completed, assignee and user_generated on each action item, so an agent can tell your own notes from the ones Fathom generated.
  • Auto-Generate Action Items is a Premium and Team setting; on a Free account the Action Items section holds only what a person adds.
  • Team Admins with Standard access to a team member's recording can assign action items on it, which a standard user cannot.
  • The Asana sync always makes you the assignee and covers only calls you recorded, so a tick on someone else's item does not reach your Asana.

add_action_item asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions

Will a tick also close the task in my task manager?

If you connected Asana in Settings, Fathom syncs a completed or reopened item itself, for items assigned to you in calls you recorded. Cotlet changes only Fathom.

Is it safe to connect Fathom to Cotlet?

Yes. You sign in to Fathom yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Fathom once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
