Housecall Pro automation · runs weekly
Chase past-due Housecall Pro invoices
Jobs finish on Friday, invoices go out on Monday, and by the end of the month a handful sit past due while you are on a roof or in a crawl space.
Cotlet does it in your own Housecall Pro account with list_invoices, get_invoice and send_invoice, called by your AI agent, an n8n workflow or a script.
Hosted · nothing to install or maintain
Can Housecall Pro do this on its own?
Housecall Pro sends automatic invoice reminders on a schedule you set in Settings (checked 14 Oct 2026). They use one rule for every customer, do not look at the balance, and the changes apply only to future jobs and invoices. The public API is MAX-plan only and can read invoices, not send or pay them.
How you do it in Housecall Pro today
- Click Invoices in the left navigation bar of the web portal to open the Invoice list.
- Use the Past Due quick filter, which shows invoices that were not paid by their due date, or filter by status, due date, amount or customer.
- Open each invoice, click Send, and choose Email, Text or both, with an edited subject and message.
- Settings > Notifications > Customer holds the automatic reminder: a frequency from every day to every 30 days and a maximum of 1 to 10 reminders, with customers excluded by name or tag.
- A changed reminder rule applies only to future jobs and invoices, so open invoices already past due stay on the old setting and wait for you.
How to chase past-due Housecall Pro invoices
Every Monday, list Housecall Pro invoices that are past due. Skip customers tagged Service Plan, and send each of the rest a short reminder by email. Show me the list before you send anything. - 01
Read the Past Due list
list_invoices runs with the past due filter and pages through the cursor until the list is complete, so a long month-end backlog is handled as one batch.
- 02
Drop the exclusions
Customers you exclude from reminders, by name or by tag as in Housecall Pro's own reminder settings, are left out of the run and shown in a separate line so nothing is hidden.
- 03
Open each invoice before sending
get_invoice shows the amount due, the due date, the payment history and the last send date. An invoice with a payment pending, for example an ACH payment that has not reached the bank, is skipped.
- 04
Write one reminder per invoice
send_invoice resends the invoice with a subject and message that name the amount and the due date. It asks for your OK by default, because every call reaches a customer.
- 05
Report what is left
The agent lists who got a reminder, who was skipped and why, and the open balance still outstanding, so you see the effect of the week in one place.
What you get back
Past due invoices: 9, total $6,840.00
Reminded by email 6:
- Marcus Lee, inv_7c20be, $780.00, 12 days past due
- Priya Shah, inv_91a3d0, $1,150.00, 4 days past due
Skipped 2 (tagged Service Plan)
Skipped 1 (payment pending, ACH)
Still open after this run: $6,840.00 Other ways to ask
- Send only invoices more than 14 days past due, and list the ones under 14 days for me without sending.
- Text instead of emailing customers who have a number in the Mobile field and an online payment option on the invoice.
- Every Friday, give me a list of unsent invoices on completed jobs and send them after I approve.
- List invoices above $1,000 that are past due and write a more personal message for each customer.
What Housecall Pro allows, and what to know first
- Housecall Pro invoice statuses are Open, Paid, Pending, Canceled and Voided, and Open includes invoices that are partially paid.
- The Unsent quick filter shows Open invoices with no send record to the customer, and Past Due shows invoices not paid by their due date.
- Housecall Pro invoice reminders repeat every day up to every 30 days, a maximum of 1 to 10 times, and start after the due date has passed.
- Manually resending an invoice restarts the invoice reminder cadence for that invoice.
- A text invoice needs text messaging enabled and approved, a number in the Mobile field, and at least one online payment option (card or bank transfer) on the invoice.
send_invoice asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.
