Submit shortlisted candidates to a JobDiva job

The shortlist is ready, and each candidate still needs a submittal with the right rates, without submitting the same person to the same job twice.

Cotlet does it in your own JobDiva account with get_job, list_submittals, get_candidate and create_submittal, called by your AI agent, an n8n workflow or a script.

Can JobDiva do this on its own?

JobDiva's API has a createSubmittal endpoint and a submittal search (checked 23 Oct 2026), both behind a client ID from JobDiva. The app does not check a shortlist against earlier submittals for you, and JobDiva has no MCP server.

How you do it in JobDiva today

  1. The recruiter opens the job and checks which candidates are already submitted to it.
  2. For each candidate the recruiter reads the record and confirms availability and the rate the candidate accepts.
  3. The recruiter creates a submittal for the job, with the status, the date, the quoted bill rate and the pay rate.
  4. JobDiva counts candidate submittals per recruiter and per opening, so a missing or doubled submittal changes the numbers a manager reads.

How to submit shortlisted candidates to a JobDiva job

Prompt

For job 24071835, read Priya Raman and Marcus Lee, skip anyone already submitted, and after my OK create submittals with a quoted bill rate of 105 USD an hour and a pay rate of 90.
  1. 01

Read the job and its submittals

get_job confirms the job, and list_submittals with the job id returns who is already submitted and with which status. Anyone on that list is left out of the run.

  2. 02

    Read each candidate

get_candidate returns location, status and current record. The agent stops on a candidate whose record shows a status your prompt did not expect, and puts them on your list.

  3. 03

    Settle the rates

The quoted bill rate and the pay rate come from your prompt and apply to all candidates in the run. When you want a different rate for one person, you say so, and the agent makes a separate call for that person.

  4. 04

    Ask before submitting

create_submittal can reach the client and records money terms, so each call waits for your OK. The agent shows the candidate, the job and both rates in one line.

  5. 05

    Report the submittals

The agent returns the submittal id for each created submittal and lists the people it skipped, with the reason.

What you get back

Example data

Job 24071835: Senior Data Analyst, Northwind Logistics
Candidates read: 4
Already submitted to this job: 2, left out
Submittals created after your OK: 2
- Marcus Lee: quoted bill rate 105 USD/h, pay rate 90 USD/h

Other ways to ask

  • Submit everyone in the hotlist "Senior Data Analyst - Northwind" who is not yet on the job, but list them first.
  • Show me who is submitted to jobs 24071835 and 24072210, with status, and change nothing.

What JobDiva allows, and what to know first

  • A JobDiva submittal carries a status, a submittal date, a quoted bill rate, an agreed bill rate and a pay rate with unit and currency.
  • JobDiva's submittal record can also hold a salary, a fee, a position type, a corp-to-corp flag and internal notes.
  • A JobDiva submittal can name the contact it is submitted to, so the client sees the right person.
  • JobDiva's submittal search filters by job, candidate, company name and submittal id, which is how the agent finds earlier submittals.
  • JobDiva says it tracks candidate submittals per recruiter and per opening, and reports submittal rates.

create_submittal asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.
