MYOB automation
Enter and pay MYOB supplier bills from a list
Supplier invoices arrive by email or in a folder, and each one is retyped into MYOB as a bill, checked against bills already entered and, a few days later, paid by hand.
Cotlet does it in your own MYOB account with list_bills, create_bill and record_bill_payment, called by your AI agent, an n8n workflow or a script.
Hosted · nothing to install or maintain
Can MYOB do this on its own?
MYOB's Business API has Purchase/Bill and Purchase/SupplierPayment resources (checked 14 Oct 2026): a bill is created with POST and carries the supplier's invoice number, and a payment applies amounts to bills from a bank account or by electronic payment. Both need a registered app and OAuth consent per company file. MYOB also offers In Tray, which creates a bill from an emailed supplier document, but it does not read a list from your own system or check for duplicates across it.
How you do it in MYOB today
- Open Purchases > Bills and create a bill with the layout that fits: Item for items in your Items List, Service for those that are not, or Professional to track the dates of work.
- Enter the supplier, the dates, the lines and the tax, and save. The bill is open until it is paid, closed once it is paid, and a debit when it is a negative purchase.
- To pay one bill, open it and select Record payment at the bottom. To pay several, go to Purchases > Record supplier payment, choose the Supplier and enter the Amount paid ($) for each bill, starting with the oldest.
- Set the Bank account the payment comes out of and check the Date. For an early-payment discount select Apply discount and enter the amount in Discount ($).
- A supplier invoice entered twice is only noticed later, and a payment that is reconciled or matched cannot be deleted until it is unmatched.
How to enter and pay MYOB supplier bills from a list
Here are this week's supplier invoices. Create a bill in MYOB for each one with the supplier's invoice number and GST, skip any bill that is already entered, and show me the list before paying the ones due this week. - 01
Check what is already entered
list_bills runs for the supplier with status open and closed, and the agent compares the supplier's invoice number and the total. A bill that is already there is reported as a duplicate and not created again.
- 02
Create the bill
create_bill saves the bill with the Service layout for free-text lines. Whether the amounts include tax follows the tax_inclusive flag in your call, so a GST-inclusive invoice is not taxed twice.
- 03
Check the total
The returned total is compared with the supplier's invoice. A difference stops the bill from being queued for payment and is listed for you.
- 04
Pick what is due
Only bills whose due date falls inside the window you named are queued for payment, oldest first, which matches how MYOB asks you to enter the amounts.
- 05
Record payments and stop short of the bank
record_bill_payment records the payment from the bank account you chose with the date you gave. It does not select electronic payment, so MYOB sends no money; you still pay from your bank. Each call asks for your OK by default.
What you get back
Supplier invoices in the list: 5
Created 4 bills, e.g. 00000311 Bayside Property: AUD 2,200.00 incl. GST
Skipped 1 duplicate (INV-8802, already bill 00000298)
Due this week: 2, AUD 3,740.00 in total
Payments recorded after your OK: 2 Other ways to ask
- Create the bills from this folder of PDFs but do not pay anything; I will pay from the bank.
- List open bills due in the next 7 days with the supplier and amount, and record nothing.
- Every Friday, record payments for bills due before next Friday from the Operating account, oldest first.
What MYOB allows, and what to know first
- MYOB Business bills use the Item, Service, Professional and Miscellaneous layouts, and Miscellaneous is for adjustments such as debit notes that are never printed or emailed.
- A bill cannot be turned back into a quote or an order once it is a bill.
- MYOB creates a debit note when a supplier is overpaid, which is settled as a refund or applied to a later purchase.
- The payment form offers Electronic payment in Australia, which pays directly into the supplier's bank account, and Cotlet does not select it.
- A supplier payment can send a remittance advice at once with Send now or later with Send later.
create_bill and record_bill_payment ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.

Is it safe to connect MYOB to Cotlet?
Yes. You sign in to MYOB yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get MYOB once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
